General Affairs/ Office Specialist
Our client is a renowned multinational automotive manufacturer and they are looking for an experienced General Affairs/ Office Specialist who is well-versed in office administration and expatriate management to join their family.
Candidates with experience in planning and hosting VIP/ leadership events will have an added advantage for this role
Location: West
Working hours: Monday to Friday (9:00am to 6:00pm)

The Talent
  • Looking for a Degree holder with a minimum of 5 to 8 years of Office Management experience in an international working environment
  • Exceptional knowledge and experience working with PowerPoint, Excel, Word, and other Microsoft applications
  • Ability to write professionally, have an excellent command of written English and grammar
  • Flexibility to work with multiple personalities and with all levels of management within an organization
  • With outstanding interpersonal communication skills

The Job
Office duties:
  • Forecast movements, recommend and facilitate office space allocation
  • Coordinate regular routine maintenance with building management and cleaners
  • Lead office renovation projects - plan, propose and implement projects upon consultation with the team, management and other stakeholders
  • Perform providers contract related initiatives - e.g. negotiations, evaluation, change of vendors to ensure good service quality of vendors
  • Plan, orgnaize and host events for VIPs/ leadership team and visitors

Expatriate management:
  • Provide support to expatriates & HQ visitors for Visa applications, flight reservations and hotel bookings
  • Main contact person for all expatriates relocation matters and ensure compliance with company's expatriate policy and practices
  • Liaise with external vendors on expatriates relocation which includes housing, car rental/purchase, children education matters
