Job Description

The HR Supervisor is responsible for overseeing the day-to-day HR operations, with a specific focus on human resource management (HRM) activities and managing the visa and work permit processes for expatriates. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The HR Supervisor will work closely with the HR Manager and line managers to ensure the company's HR practices are compliant with the rules & regulations and support the overall strategic objectives of the organization.

Job Responsibilities

1. Visa and Work Permit Management:

  • Handle all aspects of the visas and work permit process for expatriate employees, including applications, renewals, cancellations and 90-day report.
  • Ensure compliance with local immigration laws and regulations.
  • Coordinate with government agencies, embassies, and legal counsel to facilitate the smooth processing of visas and work permits.
  • Maintain accurate records and monitoring the deadline of visa and work permit status for all expatriate employees.
  • Provide guidance and support to expatriates on immigration-related matters.
  • Keep abreast of changes in immigration laws and regulations and advise management on the implications.

2. Recruitment and Onboarding Process:

  • Manage the end-to-end recruitment process, including job postings, sourcing candidates, and interviewing.
  • Implement strategies to attract top talent and build a strong employer brand.
  • Looking for new channels for job advertising.
  • Ensure the hiring process is smooth, offer, contract, Social Security Fund, Criminal Check, Health Checkup, etc.
  • Implement the orientation program for the new hire.
  • Ensure a smooth and positive candidate experience throughout the recruitment and hiring process.
  • Monitor the staff movement, probation period of new hire and coordinate with the line managers for the evaluation.

3. Employee Relations:

  • Work closely with HR Manager to manage employee relations issues, including conflict resolution, grievances, and disciplinary actions, ensuring fair and consistent application of policies.
  • Promote a positive work environment and organizational culture that supports employee engagement and productivity.
  • Conduct exit interviews and analyze feedback to identify areas for improvement.

4. Performance Management:

  • Implement the performance management process, including Task & Target setting, appraisals, and gathering the result for annual increment.
  • Work with department heads to identify and address performance issues, providing coaching and support as needed.
  • Develop and implement employee development programs to enhance skills and career growth.
  • Ensure alignment between individual performance goals and overall organizational objectives.

5. Training and Development:

  • Identify training needs and develop programs to enhance employee skills and capabilities.
  • Oversee the implementation of in-house training programs, technical training, leadership development, and other initiatives.
  • Evaluate the effectiveness of training programs and make adjustments as necessary to meet the evolving needs of the organization.

6. Compliance and Legal:

  • Ensure compliance with all applicable labor laws, regulations, and company policies.
  • Keep abreast of changes in labor legislation and advise management on necessary actions.

7. HRIS

Manage the day-to-day operations of the HRIS on the current HR application (People Plus), including data entry and troubleshooting.

Develop user guides, training materials, and FAQs to assist employees in effectively using the HR application.

Serve as the primary point of contact for HR application-related inquiries and issues.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • A minimum of 3 years of experience in HR role
  • Able to communicate in English with expatriate employee
  • Strong knowledge of HR principles, practices, and employment laws.
  • Proficiency in HRIS and other HR-related software.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • High level of integrity, professionalism, and confidentiality.
