We are currently seeking an experienced Admin Assistant (Site Administration), reporting to the Department Manager, Administration and Services, to join our team in Chonburi.
About The Role
This role is responsible for providing comprehensive administrative and operational support to ensure smooth day-to-day site operations. You will work closely with the Site Director, internal teams, and vendors in an international environment.
This position requires a proactive, well-organized professional who can manage multiple priorities and work independently.
Key Responsibilities
1. Administrative Support
- Provide full administrative and secretarial support to Site Director and site management team
- Manage complex calendars, appointments, and meeting schedules
- Prepare reports, presentations, correspondence, and meeting minutes
- Maintain accurate filing systems, documentation, and records
2. Purchasing & Financial Coordination
- Process Purchase Requests (PR), Purchase Orders (PO), and Goods Receipts
- Coordinate invoice processing and liaise with Accounts Payable (AP)
- Manage reimbursements for travel and employee benefits
- Monitor office expenses and support budget tracking
3. Office & Site Operations
- Oversee office supplies, equipment, and procurement activities
- Coordinate with Facility / Workplace teams to maintain office and site environment
- Ensure site operations run smoothly and efficiently
4. Meeting & Logistics Coordination
- Arrange meetings, conference rooms, materials, and catering
- Organize travel, transportation, and logistics for Site Director and visitors
- Support company events and internal activities
5. Communication & Coordination
- Act as key administrative contact for internal teams, vendors, and stakeholders
- Coordinate communication and document distribution across teams
- Follow up on action items and ensure timely completion
About You
Skills & Competencies
- Good to excellent command of English (both written and spoken), with confidence to communicate effectively with international stakeholders
- Strong organizational and multitasking skills with high attention to detail
- Excellent communication and interpersonal skills
- Proactive, reliable, and able to work independently in a fast-paced environment
- Strong sense of responsibility and service mindset
Technical Skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Education & Experience
- Bachelor's degree in Business Administration or related fields
- Minimum 5 years of experience in administrative, site administration, or office operations roles
- Experience in construction, project site, or manufacturing environment is strongly preferred
- Proven experience supporting senior management is an advantage
