Job Description

As the Admin Leasing Officer for Anytime Fitness Thailand, you you play a key role in supporting the end-to-end leasing process. You will focus on ensuring accurate documentation, smooth coordination between internal teams and landlords, and adherence to local leasing standards. The Admin Leasing Officer manages the administrative, legal, and compliance aspects of active leases to ensure operational readiness and alignment with company goals.

Roles And Responsibilities

Lease Administration and Documentation:

  • Manage and organize lease agreements, renewals, and termination documents.
  • Prepare approval papers and maintain accurate records of all lease-related files.
  • Handle translation and review of Thai legal documents and ensure all paperwork is properly archived.
  • Coordinate with landlords, property representatives, and relevant departments for timely handovers and document completion.

Compliance and Legal Coordination:

  • Ensure all leasing records and agreements comply with Thailand's Civil and Commercial Code, Commercial Building Act, and Land Department registration requirements when applicable.
  • Work closely with the legal counsel to ensure lease contracts meet company and regulatory standards.
  • Support finance teams in proper documentation for lease-related taxes such as withholding tax and VAT reporting.
  • Maintain confidentiality and handle all landlord and lease data in accordance with the Thai Personal Data Protection Act (PDPA).

Cross-Functional Support:

  • Coordinate with Operations Support, Marketing, and Project teams to ensure lease timelines and requirements are met.
  • Facilitate the handover process between landlords, management, and contractors for new or renewed sites.
  • Track upcoming lease renewals and proactively support negotiations in coordination with the Site Acquisition and Legal teams.

Monitoring and Reporting:

  • Keep an updated tracker of lease terms, expiry dates, and key commercial conditions.
  • Provide periodic reports to management summarizing lease status, risks, and recommendations.
  • Support the evaluation of leasing efficiency and contribute to process improvements.

Qualifications

  • Bachelor's degree in Business Administration, Real Estate, Legal Studies, or a related field.
  • At least 23 years of experience in lease administration, real estate operations, or property management.
  • Familiarity with Thai leasing laws, property registration, and tax documentation requirements.
  • Strong attention to detail and ability to manage multiple agreements simultaneously.
  • Good communication and coordination skills, with a proactive and professional approach.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and experience with document tracking systems.
  • Comfortable working in a fast-paced, cross-functional, and multinational environment.
