Job Summary

The Assistant Manager – MICE Planning is responsible for coordinating and managing all aspects of Meetings, Incentives, Conferences, and Exhibitions (MICE) events. This role serves as the primary liaison between clients and internal hotel departments to ensure events are planned and executed efficiently, meeting guests expectations and hotel standards.

Key Responsibilities

Event Planning & Coordination

  • Manage assigned MICE events from confirmation through post-event follow-up.
  • Conduct event planning meetings with clients to determine requirements and expectations.
  • Prepare and maintain event orders, function sheets, rooming lists, and event schedules.
  • Coordinate event details with all relevant departments, including Operations, Food & Beverage, Culinary, Engineering, Housekeeping, and Front Office.
  • Ensure all event requirements are communicated accurately and in a timely manner.

Client Relationship Management

  • Build and maintain strong relationships with clients, meeting planners, and event organizers.
  • Act as the main point of contact throughout the planning process.
  • Respond promptly to client inquiries and requests.
  • Handle client concerns professionally and provide appropriate solutions.

Operational Excellence

  • Conduct pre-conference and pre-event briefings with operational teams.
  • Monitor event execution to ensure service quality and guest satisfaction.
  • Ensure compliance with hotel policies, brand standards, and safety regulations.
  • Assist in resolving operational issues during events.

Financial Management

  • Review event contracts and ensure services are delivered according to agreed terms.
  • Monitor event revenues and expenses to maximize profitability.
  • Verify billing accuracy and coordinate with the Finance team regarding client accounts.
  • Identify opportunities for upselling additional products and services.

Administration & Reporting

  • Maintain accurate event records and client information in relevant systems.
  • Prepare event forecasts, reports, and post-event evaluations.
  • Analyze client feedback and recommend improvements to enhance guest experiences.
  • Support departmental projects and initiatives as assigned.

Qualifications

  • Bachelor's degree in Hospitality Management, Business Administration, Event Management, or a related field.
  • Minimum 3-5 years of experience in event planning, conference services, or hotel operations.
  • Experience in luxury hotel or upscale hospitality environments preferred.
  • Strong communication and interpersonal skills.
  • Excellent organizational and project management abilities.
  • Ability to manage multiple events simultaneously in a fast-paced environment.
  • Proficient in Microsoft Office applications and event management systems.
  • Strong problem-solving and customer service skills.
  • Excellent command of written and spoken English; additional languages are an advantage.
