Job Description

Mars has expanded the business into animal hospitals to provide high-quality veterinary services. With the planning potential branch expansion in the near future, structured financial processes and scalable systems are increasingly critical. The Assistant S&F Finance Manager plays a key role in supporting this growth by strengthening financial reporting, enhancing fixed asset governance, improving inventory management practices, and ensuring consistency in accounting standards across hospital operations. This position helps establish more systematic workflows that enable smoother expansion, stronger resource control, and improved financial visibility.

Key Responsibilities:

Accounts Payable Management & Financial Accuracy

  • Support and coordinate the end-to-end Accounts Payable (AP) process to help operations stabilize, including invoice collection, review of supporting documents, and checking completeness and accuracy before submission to the outsourced accounting firm for recording.
  • Review the payment list to ensure proper expense classification, accurate GL coding, and correct accounting period recognition in accordance with company policies and accounting standards.
  • Coordinate closely with the outsourced accounting service provider to ensure timely and accurate booking of transactions and proper month-end closing support.
  • Continuously improve AP workflows and documentation processes to enhance efficiency, transparency, and compliance.

Finance Business Partnering, Expense Management and Operational Finance Support

  • Monitor expense trends and identify unusual or abnormal variances across departments, providing analysis and recommendations to management.
  • Ensure recorded expenses align with approved budgets, operational activities, and business objectives.
  • Support management reporting by highlighting cost drivers, anomalies, and opportunities for process improvement.

Internal Control & Policy Governance

  • Coordinate with operational teams to ensure adherence to company policies and strengthen a system-driven working environment.
  • Promote accountability and compliance through clear documentation standards and process improvements.
  • Build and strengthen inventory control processes by working closely with responsible departments to ensure proper recording, monitoring, reconciliation, and compliance with internal policies.
  • Establish and enhance fixed asset lifecycle processes and controls, including asset data collection, asset register maintenance, capitalization review, transfers, and write-offs.
  • Develop and implement asset tagging standards and control procedures to ensure proper identification, tracking, and safeguarding of hospital equipment and assets.
  • Build structured physical count processes by coordinating periodic fixed asset verification, investigating discrepancies, and ensuring accurate reconciliation with the asset register.
  • Strengthen depreciation review controls to ensure accuracy, consistency, and compliance with accounting policies.
  • Support the development of robust asset governance frameworks to enhance operational efficiency and enable future branch expansion.

Process Improvement & Cross-Functional Support

  • Drive initiatives to enhance accounting processes, strengthen internal controls, and improve financial data reliability.
  • Collaborate with finance, operations, and clinical teams to support a structured, scalable financial environment aligned with the hospital's growth strategy.

Ad Hoc Responsibilities & Projects

  • Support the integration and alignment of accounting and reporting policies for any future hospital expansion, new branch setup, or business integration initiatives.
  • Provide support in finance system implementation or upgrades (e.g., ERP, Oracle, or other financial systems) where applicable.
  • Participate in and contribute to process improvement, standardization, and system enhancement projects to strengthen financial operations and reporting efficiency.
  • Drive continuous improvement by identifying process inefficiencies, recommending automation opportunities, and enhancing overall financial workflow effectiveness.
  • Collaborate closely with FP&A, Finance Controls & Governance, outsourced accounting partners, IT teams, and Hospital Operations to understand business needs, provide financial support, and improve cross-functional coordination.
  • Provide ad hoc financial analysis, reporting support, and special project assistance as required by management.
  • Perform other duties and responsibilities as assigned.

Qualifications:

  • Bachelor's degree in Accounting, Finance or related field.
  • At least 5-7 years of progressive finance / accounting experience with strong analytical, communication and technical skills
  • Ability to work independently in cross functional teams
  • Strong understanding of P&L, Balance Sheet and Cashflow and be capable to demonstrate solid analytical thinking
  • Operations.
  • Experience with Oracle and Essbase will be helpful but not essential
  • Able to manage 3rd party accounting operations service provide
  • Good understanding for automation in Finance such as Power BI.
