Job Description

Objectives

We are looking for a proactive, detail-obsessed, and people-driven HR Associate to be the engine behind our Hanoi office. This is a true generalist role: you will own end-to-end recruitment coordination, bring our employer brand to life, keep HR operations running flawlessly, and ensure the office is a place people love to come to. You will be the first HR face many candidates and new joiners meet - and the person the Hanoi team relies on every day. Job Description

Talent Acquisition (50%)

  • Coordinate the full recruitment cycle for Hanoi-based roles: post jobs, source candidates across channels (LinkedIn, job boards, talent communities, referrals), and screen CVs against role requirements.
  • Schedule and arrange interviews, manage candidate communication, and ensure every candidate has a smooth, professional experience from first contact to offer.
  • Maintain the candidate pipeline and recruitment tracker; report sourcing progress and time-to-hire to the HRD and Hiring Managers.
  • Run a structured onboarding for new joiners – paperwork, first-day setup, orientation – so they are productive and welcomed from day one.

HR Operations & Coordination (20%)

  • Prepare and manage employee records, labor contracts, and HR documents accurately and confidentially throughout the employee lifecycle.
  • Support monthly HR operations: timekeeping, leave tracking, social insurance (SHUI) procedures, and clean, up-to-date HR data on the system.
  • Assist with onboarding/offboarding logistics and respond to day-to-day employee queries on policies and procedures.
  • Act as the HR point of contact between the Hanoi office and the HCMC Headquarters, ensuring smooth two-way communication and consistent ways of working across locations.
  • Roll out and uphold company-wide HR policies, processes, and standards at the Hanoi office, making sure local practice stays fully aligned with HQ.
  • Localize and communicate HQ policies and announcements to Hanoi employees, and surface local needs, feedback, and exceptions back to HQ for resolution.
  • Ensure Hanoi HR operations comply with internal policies and Vietnam labor regulations, flagging gaps or risks to the HRD early.

Office & Admin (30%)

  • Own daily operations of the Hanoi office: front-desk/reception, supplies, facilities, vendors, and a clean, well-functioning workspace.
  • Manage office purchasing and expense tracking, working with Finance to keep admin spend organized and on budget.
  • Coordinate logistics for internal events, team activities, and visitors at the Hanoi office.

Job Requirements

Must Have

Skills, Knowledge & Qualification

  • Bachelor's degree (HR, Business, Economics, Communications, or related); fresh graduates with strong internship experience are welcome.
  • 0-1 year of experience in HR, recruitment, admin, or a coordination-heavy role.
  • Strong organization and attention to detail – you track many moving pieces without dropping any.
  • Clear, warm communication in Vietnamese; working English for reading and basic written communication.
  • Comfortable with Google Workspace (Docs, Sheets, Drive) and quick to pick up new HR tools and systems.
  • High sense of confidentiality, reliability, and service mindset toward candidates and employees.

Good To Have

  • Hands-on experience with sourcing tools (LinkedIn Recruiter, job boards)
  • Content creation or social media skills (basic design, copywriting, short video) for employer branding.
  • Familiarity with Vietnam labor law basics, SHUI procedures, or HR information systems.
