Job Description

Position Summary:

We are looking for a detail-oriented and customer-focused Customer Order Executive to manage the end-to-end order processing cycle. This role involves handling customer orders, coordinating with internal departments (sales, logistics, finance, and service), ensuring timely deliveries, and maintaining high customer satisfaction levels. The ideal candidate should have strong organisational skills, excellent communication, and experience in order management systems.

Roles and Responsibilities:

  • Process customer purchase orders accurately in the ERP/CRM system.
  • Verify order details, pricing, and terms before confirmation.
  • Coordinate with sales, logistics, warehouse, and finance teams to ensure smooth order fulfilment.
  • Liaising with overseas factory for equipment ordering, proficient in English and strong written skills
  • Track order status and proactively update customers on delivery timelines.
  • Preparing import documents, duties and shipping documents
  • Handle order-related queries, complaints, and escalations from customers.
  • Ensure timely invoicing, dispatch, and payment follow-ups in coordination with finance.
  • Maintain customer records, contracts, and order history in the system.
  • Coordinate local delivery to the customer place
  • Prepare daily/weekly/monthly reports on order status and backlog.
  • Support internal audits and compliance with company policies.
  • Contribute to process improvements in order management and customer service.

Qualifications & Skills

  • Diploma in Business Administration, Commerce, Supply Chain, or related field.
  • at least 4 years of experience in order processing, customer service, or sales coordination.
  • Proficiency in ERP/CRM systems (SAP, Navision, or similar).
  • Strong communication and interpersonal skills.
  • Attention to detail and high accuracy in data entry.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Customer-first mindset with problem-solving attitude.
  • Experience in industrial equipment, manufacturing, or engineering product order management.
  • Familiarity with import/export documentation and logistics coordination.
