Job Description

The Data Analysis Assistant is responsible for supporting the data lifecycledata collection, cleaning, validation, and organizationto ensure accuracy and reliability of reports and insights. The role focuses heavily on Excel-based data preparation and works closely with analysts and stakeholders to maintain high-quality datasets that support business decision-making.

Responsibilities:

Data Preparation & Cleaning

  • Collect, clean, and organize raw data from multiple sources (Excel, CSV, system exports).
  • Identify inconsistencies, duplicates, missing data, and formatting errors; perform corrective actions.
  • Standardize datasets following defined rules, naming conventions, and data structures.
  • Ensure data quality, accuracy, and completeness before handing over for analysis.

Data Validation & Quality Control

  • Perform data validation checks using Excel formulas, pivot tables, and lookups.
  • Reconcile data across different spreadsheets or systems to ensure alignment.
  • Flag anomalies, unusual trends, or errors to the Data Analyst/Data Manager.

Reporting Support

  • Assist in preparing routine reports and dashboards by ensuring source data is correct.
  • Update weekly/monthly datasets and maintain data logs.
  • Support data visualization preparation (charts, tables, summaries).

Documentation & Process Improvement

  • Maintain documentation of data cleaning rules, processes, and version controls.
  • Support the creation of templates for recurring data tasks.
  • Suggest efficiency improvements in data preparation workflow.

Cross-Functional Collaboration

  • Work with internal teams to clarify data issues.
  • Provide timely updates on data readiness to relevant stakeholders.

Qualifications:

  • Bachelor's degree in Business, Economics, Statistics, Computer Science, or related field (or equivalent experience).
  • Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, SUMIFS, data cleaning tools).
  • Basic understanding of data analysis concepts.
  • Detail-oriented with strong problem-solving and organizational skills.
  • Ability to handle repetitive tasks with accuracy and consistency.
  • Experience with Google Sheets or Power BI/Tableau is a plus (but not mandatory).
