Job Title: Data Management & Conform Operator
Reports to: Senior Online Artist
Department: Post-Production
Job Responsibilities:
1. Data Ingestion & Output (I/O)
- Receive, organize, and log all incoming project materials (master media, graded files, online assets, supers, graphics, scripts, references).
- Validate formats, naming conventions, and storage placement according to workflow guidelines.
- Prepare, package, and export delivery files as instructed by Producers or the Sr. Online Artist.
- Maintain accurate I/O logs and delivery documentation.
2. Conform Preparation & Execution
- Ingest and organize media required for color grading conform and online conform.
- Perform conform tasks including:
- Relinking to high-resolution/graded media
- Aligning timelines with graded outputs and online-ready sequences
- Checking shot accuracy, handles, missing frames, and version mismatches
- Preparing conform timelines for Sr. Online Artist to execute final finishing
- Identify and flag discrepancies early, coordinating resolutions with Producers and Sr. Online Artist.
- Ensure all timelines consistently match the latest client-approved edit and delivery requirements.
3. File & Asset Organization
- Maintain structured folder architecture across servers/cloud storage.
- Apply strict naming conventions, versioning standards, and data hygiene.
- Archive completed project files in accordance with internal processes.
4. Support for Senior Online Artist
- Prepare working folders, project structures, and reference materials before online sessions.
- Consolidate and verify all required assets: supers, CG elements, audio files, graded media.
- Assist with exporting reference videos, checking format specs, and preparing sequences for final online.
- Troubleshoot missing or incorrect assets and help coordinate solutions.
5. Online Assistant Administrative Duties
- Update trackers (asset lists, timeline status, delivery logs) as instructed.
- Organize scripts, reference decks, working files, and delivery documentation.
- Maintain internal templates, process documents, and specs used by the post-production team.
6. Weekly Workflow & Data Updates
- Report weekly status on conform tasks, file readiness, and delivery progress.
- Coordinate with Producers, Editors, and the Sr. Online Artist to ensure timely flow of materials.
- Log deliveries and ensure proper archiving after each job is completed.
7. Documentation & Workflow Compliance
- Ensure consistent adherence to internal standards for:
- Folder structure
- Naming conventions
- File versioning
- Data security
- Flag workflow gaps or data risks to the Sr. Online Artist for resolution.
8. Internal Data Library Management
- Maintain organized internal references, technical guidelines, and delivery templates.
- Update and manage partner/freelancer contacts and relevant post-production data assets.
9. General Team Support
- Provide operational, data-related, and basic technical support across the online/post team.
- Support Producers and Sr. Online Artist in ensuring smooth workflow from conform through delivery.
- Assist in communication related to asset readiness, conform progress, and delivery updates.
Qualifications:
- 12 years of experience in post-production, media handling, data operations, or related fields (fresh graduates with relevant training may be considered). We are also open to consider for internship.
- Basic understanding of post-production workflows, conforming, and online processes.
- Familiarity with editing/online software such as DaVinci Resolve, Premiere Pro, After Effects, Autodesk Flame, or similar tools (working knowledge of conforming tasks is preferred).
- Strong organizational skills with the ability to manage large volumes of files and ensure strict versioning control.
- Ability to follow structured workflows and technical instructions accurately.
- Comfortable coordinating with Producers, Editors, and Online Artists in a fast-paced production environment.
- Ability to troubleshoot simple asset issues (incorrect codecs, missing media, mismatched resolution, etc.).
- Strong attention to detail and a disciplined approach to file hygiene and data management.
- Basic English communication (reading/writing) for file naming, documentation, and technical notes.
