Role Overview
The Document Controller will be responsible for managing, tracking, distributing, and maintaining all project documentation throughout the project lifecycle. The role will ensure that drawings, technical submittals, RFIs, reports, correspondence, commissioning records, and handover documentation are properly controlled, accurately recorded, and issued in accordance with project procedures and document control requirements.
The position will work closely with the PMC team, Client, Consultants, Contractors, and Vendors to ensure timely document processing and compliance with project governance and reporting standards.
Key Responsibilities
- Establish and maintain the project's document control system and filing structure.
- Manage incoming and outgoing project correspondence, technical submissions, RFIs, drawings, reports, and transmittals.
- Maintain document registers and ensure accurate tracking of document status, revisions, approvals, and distribution records.
- Monitor and control all project documentation within PMWeb, SharePoint, or other project management platforms.
- Ensure all project records are properly archived and easily retrievable.
- Coordinate the review and approval workflow for technical submissions and project documentation.
- Issue and distribute approved documents to relevant stakeholders in a timely manner.
- Track overdue actions, document reviews, and approval status and follow up with responsible parties.
- Support weekly and monthly reporting by maintaining accurate project records and document logs.
- Coordinate the compilation of as-built documentation, O&M manuals, commissioning records, warranties, and final handover packages.
- Ensure compliance with client document control procedures and project governance requirements.
- Support audits, quality inspections, and project close-out activities.
Key Competencies & Experience
- Diploma or Bachelor's Degree in Engineering, Business Administration, Information Management, or a related field.
- Minimum 5+ years of experience in document control for construction, infrastructure, industrial, or mission-critical projects.
- Previous experience on data center, large-scale MEP, industrial, or EPC projects is highly preferred.
- Strong experience using document management systems such as PMWeb, SharePoint, Procore, EDMS, or similar platforms.
- Good understanding of engineering drawings, technical submissions, RFIs, and construction documentation processes.
- Proficient in Microsoft Office applications, particularly Excel and document tracking tools.
- Strong organizational, communication, and attention-to-detail skills.
- Ability to manage large volumes of documentation in a fast-paced project environment.
