Job Description

DIGITHAI is seeking a highly organized and proactive Executive Assistant with strong HR skills. This role is crucial in providing comprehensive support to our CEO and the broader leadership team. This position will also involve administrative support for our employees, specifically with HR-related tasks, as well as finance and office management duties.

Responsibilities

Executive Support:

Assist the CEO and COO with daily administrative duties, including managing schedules, coordinating meetings and handling correspondence.

Welcome clients and visitors to the company

HR and recruitment support:

Serve as the primary point of contact for employee administrative requests related to work permits and visas.

Manage the documentation and submission process for work permit renewals and other official government filings with the Board of Investment (BOI) and other relevant agencies in Thailand.

Assist with other HR tasks such as document formatting, scheduling interviews, and supporting recruiting efforts.

Assist in enhancing recruitment and HR processes, overseeing employee benefits, attendance, and well-being.

Collaborate with headhunting agencies

Finance and Accounting Support:

Manage invoicing, track payments, and follow up with clients as needed.

Work closely with our accounting team to support payroll, payments, and expense reimbursements.

Maintain and organize financial documents to ensure they are up-to-date and easily accessible.

Office & Facilities Management:

Keep the office organized, ensuring all supplies, including the snack bar, are well-stocked.

Liaise with building management and external vendors for office maintenance and services.

Manage incoming and outgoing mail and packages.

Event Participation:

Occasionally assist and participate in company sales events and other internal or external gatherings.

Requirements

Experience:

A minimum of 2-3 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.

A background in HR or recruitment is mandatory.

Previous experience in a fast-paced, international environment.

Skills & Competencies:

Excellent command of both written and spoken English is mandatory.

Demonstrated ability to manage multiple tasks, prioritize effectively, and work with a high degree of independence.

Strong attention to detail and proactive problem-solving skills, with the ability to anticipate the management's needs and act preemptively.

Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace tools. Basic IT knowledge is preferred.

Excellent numerical skills for handling invoices and other financial documents.

Basic knowledge of Thailand's labor laws and familiarity with the work permit and visa application process is highly desirable.

Strong communication and interpersonal skills.

A positive attitude and the ability to accept constructive feedback gracefully.

High level of discretion and confidentiality.
