Job Summary

The Executive Secretary will provide high-level administrative support to the Chief Customer Value and Commercial Officer, ensuring the smooth operation of the Commercial and Marketing department. The ideal candidate acts as a strategic partner who can manage complex schedules, facilitate internal and external communications, and handle sensitive business data with total discretion.

Key Responsibilities

1. Strategic Calendar & Workflow Management

  • Proactive Scheduling: Manage the complex calendar, prioritizing meetings based on business urgency and commercial cycles.
  • Gatekeeping: Act as the primary point of contact for internal departments (Commercial, Marketing,Customer Value) and external stakeholders, vetting requests to optimize the Chief Customer Value and Commercial Officer's time.
  • Travel Coordination: Arrange end-to-end domestic and international travel, including flights, accommodation, visas, and detailed itineraries.

2. Communication & Documentation

  • Business Correspondence: Draft, edit, and proofread high-quality emails, memos, and official announcements in English.
  • Presentation Design: Assist in creating high-impact PowerPoint presentations for board meetings, town halls, and client pitches.
  • Meeting Governance: Prepare agendas, attend key commercial meetings, record minutes, andmost importantlytrack action items to ensure follow-through.

3. Commercial Support & Liaison

  • Cross-Functional Coordination: Liaise between the Chief Customer Value and Commercial Officer and department heads to gather weekly reports, KPIs, and updates.
  • Expense Management: Manage theChief Customer Value and Commercial Officer s expense reports, budget tracking for the executive office, and vendor invoices.

Requirements & Qualifications

  • Experience: 5+ years of experience as an Executive Assistant or Secretary to C-suite leaders.
  • Education: Bachelor's degree in Business Administration, Communications, or a related field.
  • Language: Native or Professional fluency in English (written and spoken).
