This is a 12-month contract position. Candidates selected for this role will be engaged under a local third-party employer on a contract basis. While the role supports Valvoline and works alongside internal teams, all employment terms, payroll, and benefits will be managed by the third-party provider.

Job Purpose

This 12-month contract position, based in Bangkok, is responsible for coordinating and managing the end-to-end export process to support customers across the Australia and Rest of Asia (ROA) markets, ensuring the timely and efficient delivery of goods to international customers. The position serves as a key liaison between internal stakeholders, customers, freight forwarders, tolling partners, and regulatory authorities, ensuring that all export activities are executed accurately and in compliance with international trade regulations, customs requirements, and shipping documentation standards. This role supports business continuity and customer satisfaction by facilitating seamless export operations, maintaining shipment visibility, and proactively resolving logistics and compliance-related issues.

How You Make an Impact (Job Accountabilities):

1. Order Management & Customer Service (40%)

  • Manage the end-to-end processing of international customer orders, ensuring accuracy, completeness, and timely fulfillment.
  • Coordinate with Supply Chain, tolling partners, and relevant stakeholders to verify inventory availability and confirm delivery timelines.
  • Validate contract pricing, apply currency conversions, and calculate total landed costs, including freight, duties, taxes, and insurance charges.
  • Serve as the primary point of contact for international customers, providing order confirmations, shipment updates, and support for order changes or special requests.
  • Monitor order progress and proactively communicate potential delays, risks, or issues to customers and internal stakeholders.
  • Resolve order discrepancies, claims, returns, credit requests, and replacement shipments in a timely and professional manner to maintain customer satisfaction.
  • Ensure all order management activities comply with internal policies, contractual obligations, and customer service standards.

2. Logistics & Freight Management (30%)

  • Coordinate international shipments by arranging air, ocean, and overland transportation with carriers and freight forwarders.
  • Secure cargo space and optimize shipment schedules to ensure timely and cost-effective delivery.
  • Negotiate freight rates and transportation terms to support cost and service objectives.
  • Partner with tolling, warehouse, and Supply Chain teams to ensure products are properly packed, labeled, and ready for shipment.
  • Monitor shipment status and proactively resolve transportation delays, customs issues, and other logistics-related challenges.

3. Documentation & Regulatory Compliance (20%)

  • Prepare and manage export documentation, including Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, and other shipping documents.
  • Ensure all export activities comply with applicable trade regulations, customs requirements, and agreed Incoterms.
  • Serve as the primary point of contact for documentation, compliance, and shipment-related issues, coordinating timely resolution with internal and external stakeholders.
  • Investigate and resolve operational and commercial challenges to minimize disruptions and support successful order fulfillment.

4. Reporting & Business Analysis (10%)

  • Prepare regular reports and perform data analysis to monitor operational performance and key business metrics.
  • Generate business insights and recommendations to support decision-making, process improvements, and operational effectiveness.

What You Bring to the Role (Qualifications / Education / Skills / Requirements / Capabilities):

  • Bachelor's degree in Logistics, Supply Chain or a related field.
  • 3+ years of experience in Export-Import or Supply Chain/Logistics fields
  • Good command of English.
  • Strong problem-solving and analytical skills.
