Facilities Coordinator - Soft Services
Position Overview
Drive excellence in workplace experience through strategic oversight of non-technical facility services that enhance operational efficiency, employee satisfaction, and organizational success.
Key Responsibilities
Strategic Management
- Direct comprehensive soft services contracts including cleaning, reception, pantry, waste management, and preventative maintenance programs for business-critical equipment
- Serve as primary operations leader for the Bangkok office, ensuring alignment with site policies while addressing evolving business needs
- Monitor budget performance and identify cost optimization opportunities while maintaining service quality
- Utilize Corrigo system to track service delivery metrics, evaluate task completion, and maintain comprehensive documentation
Client & Stakeholder Relations
- Serve as primary point of contact for clients regarding facilities-related needs, providing responsive support and customized solutions
- Partner with Building Management teams to optimize site operations including parking, maintenance, HVAC, security, and emergency preparedness
- Effectively manage escalations related to contractor performance and compliance documentation
- Coordinate office events and special requests while ensuring facilities operations align with client business objectives
Vendor & Project Management
- Manage strategic vendor relationships and conduct systematic performance evaluations to maintain service standards
- Coordinate complex projects such as site transitions, make good processes, and systems implementations
- Oversee contract lifecycle including procurement, implementation, termination, and transition
- Manage inventory, removals, and logistics for furniture and equipment during office relocations
Compliance & Documentation
- Ensure comprehensive compliance with health and safety regulations
- Develop and maintain critical documentation including HSSE Playbooks, Business Continuity Plans, and Site Field Manuals
- Implement and advance corporate sustainability initiatives
- Respond decisively to service-related incidents with effective resolution strategies
Cross-Functional Collaboration
- Collaborate with JLL regional teams across Finance, Procurement and Operations for integrated service delivery
- Work with IT and Global Corporate Services teams to leverage technology solutions that enhance service delivery
- Engage with stakeholders to understand evolving requirements and implement service improvements
- Coordinate with building management on infrastructure matters including security systems, access management, and safety protocols
Required Qualifications
- Bachelor's degree in Facility Management, Business Administration, Hospitality or related field
- 4+ years of progressive experience in facilities management with specialized focus on soft services
- Comprehensive knowledge of industry standards and innovative best practices
- Demonstrated success in contract management and strategic vendor relationships
- Exceptional communication and interpersonal skills with ability to influence across organizational levels
- Advanced proficiency in Microsoft Office suite, facilities management platforms, and financial systems
- Superior problem-solving capabilities with strong analytical and organizational skills
- Experience in managing site transitions and implementing service improvement initiatives
