Role and Responsibilities
The general administrative specialist is responsible for overseeing various administrative tasks within the company (manufacturing). This includes handling office supplies, facility, company car, vendor/supplier coordination, cleaning, security and pest control.
Office Administration & Facility Management
- Overseeing office supply and inventory to ensuring availability of necessary items for smooth operations.
- Coordinating and overseeing facility maintenance, repairs and renovations to ensure a safe and functional work environment (include onsite service support if needed).
- Providing administrative support and documentary.
Fixed Asset Management
- Responsible for company fixed assets, update status of record and write off process.
Vendor & Service Provider Management
- Sourcing, negotiating, coordinating and overseeing with external vendors/ suppliers/ service providers for various office needs such as cleaning service, security service, pest control service, CCTV system provider, building lessor, mail delivery and messenger service and equipment maintenance.
Transportation & Company Vehicle Management
- Managing company vehicles/carpool including daily requests, scheduling maintenance, mileage tracking, basic preparation for new cars and ensuring proper government/legal documentation.
Safety Coordination
- Coordinate with outsourcing safety team to monitor and follow up safety related issues and ensure that all safety policies and protocol be applied properly to secure safety working environment and condition.
Budget & Cost Control
- Monitoring and controlling administrative budget and expenses to ensure cost effectiveness and compliance with company policy.
Document & Contract Management
- Preparing, maintaining and filing administrative documents, contracts, licenses and service agreements in accordance with company requirements.
Event & Employee Support
- Support company events including meetings, conferences, VIP visit arrangement and occasional activities.
- Coordinate with HR team regarding employee support, office administration and company activities.
Qualifications and Education Requirements
- Bachelor's degree in business administration or related field.
- Minimum 3 years of experience in General Affairs, Administration, Facility Management or related functions, preferably in manufacturing or industrial environment.
- Experience in managing administrative operations including office supplies, company vehicles, facility maintenance and outsourced service providers.
- Strong knowledge of office administration, facility management, vendor management and company asset control.
- Strong coordination, communication, negotiation and interpersonal skills with ability to collaborate effectively across functions and external parties.
- Proficient in Microsoft Office applications and other related systems/software.
- Good command of English communication skills, both written and spoken.
- Flexible supporting company events, urgent matters and occasional work outside normal working hours.
- Ability to prioritize tasks, work independently and manage multiple assignments under pressure.
- Possess valid driving license.
