The Mission
As the Global Event Operations Specialist, you are the strategic and technical architect of our flagship international conventions. This is a high-impact leadership role requiring a rare blend of master-level project management, technical production expertise, and rigorous financial stewardship. You will support the entire event lifecycle; from initial bidding and venue site inspections to high-stakes Show Day command, ensuring every global event is a flawless, brand-aligned masterpiece.
Core Responsibilities
Strategic Sourcing & Venue Selection
- Supplier RFP Management: Support the end-to-end procurement process, preparing RFPs and evaluating reputable production companies based on technical presentations, scoring criteria, and competitive quotations.
- Technical Site Audits: Identify and conduct on-site inspections of future host venues (e.g., Kintex, Impact, SECC) to ensure technical specifications, physical area requirements, accessibility, and safety regulations meet global standards.
- Visual Identity Leadership: Collaborate with committees to approve key visual graphics, mood boards, and digital assets, ensuring a consistent look and feel across all attendee touchpoints.
Comprehensive Planning & Financial Oversight
- Technical & Regulatory Compliance: Master venue-specific technical specs, including load-in protocols, power requirements, and local advertising opportunities. Ensure all administrative tasks adhere to local laws and safety protocols.
- Budgetary Precision: Build and track a meticulous line-item budget for the entire event lifecycle, factoring in 10% contingencies, managing grant disbursements, and performing rigorous post-event consolidation.
- Legal & Risk Management: Review all legal agreements with venues and vendors, scrutinizing force majeure clauses, cancellation schedules, and attrition rates to minimize company liability.
- Global Logistics & VIP Care: Coordinate end-to-end travel, housing, and ground transportation for Executives, VIPs, and international staff. Curate diverse menus with catering leads to accommodate global dietary and cultural requirements.
- Government & Immigration Relations: Liaise with local government institutions for grants, VISA assistance, and media support, specifically managing protocols for high-risk markets to prevent immigration rejections.
Operations & Show-Site Execution
- The Event Bible & Command: Assist in compiling the definitive Event Bible and Event Kit. Establish and support the War Room as the central hub for all communications, schedules, and floor plans.
- Production Leadership: Oversee the Load-In/Load-Out of all assets. Lead technical tech checks for keynote speakers, adjusting stage lighting and audio levels for high-quality recording and attendee comfort.
- Real-Time Show Calling: Maintain the Master Run of Show with 0% program drift. Help to manage the exact timing of house lights, countdown music, and stage transitions, making executive calls on program adjustments in real-time.
- The Attendee Journey: Physically verify every wayfinding sign, exhibition booth, and VIP green room to ensure the attendee experience is intuitive, brand-standard, and safe.
Post-Event Stewardship
- Financial Reconciliation: Work with the team to reconcile every final invoice against original quotes and on-site additions, flagging unauthorized labour or overcharges before approving final payments.
- Asset & Damage Mitigation: Document venue condition post-event to prevent unfair damage charges and ensure all company-owned assets (IT, branded materials, recordings) are secured and returned.
- Performance Analytics: Support formal wrap-up meetings to review event performance against KPIs, providing transparent analysis of successes and strategic improvements for future iterations.
Experience & Technical Requirements
- Seniority: 5+ years of experience in large-scale international event production, global congress management, or high-end corporate incentive travel.
- Technical Design: Proficiency in CAD (Computer-Aided Design) software or similar floor-planning tools to verify technical builds against specified drawings.
- Financial & Project Management: Expertise in Excel or specialized Project Management software (e.g., Asana, Smartsheet) for building complex line-item budgets and tracking multi-phase project milestones.
- AV & Production Literacy: Understanding of AV desk operations, lighting cues, slide-deck transitions, and stage management.
- Logistics & Travel Platforms: Experience with travel management systems and hotel rooming-list software to coordinate international movement for hundreds of staff and VIPs.
- Communication Mastery: Ability to manage high-volume, real-time communication channels (e.g., WhatsApp, Slack, Radio) under War Room pressure.
- Global Mobility: Readiness for frequent international travel for site inspections, food tastings, and show-week execution.
