Job Summary

We are seeking a proactive and organized HR & Admin Executive to manage daily HR operations and office administration for our retail business, ensuring compliance and supporting staff engagement in a fast-paced environment.

Responsibilities

  • Process payroll and maintain accurate attendance records using the company's HR and payroll system to ensure timely and error-free salary disbursement
  • Administer leave applications, employee benefits, and maintain comprehensive staff records to support workforce management
  • Coordinate recruitment activities including job postings, interview scheduling, onboarding, and exit procedures to facilitate smooth hiring processes
  • Prepare and manage HR documents such as employment contracts, confirmation letters, warning letters, and increment letters to support employee lifecycle management
  • Maintain organized employee records, HR documentation, and filing systems to ensure data accuracy and accessibility
  • Liaise with MOM, CPF, and relevant authorities to manage work pass applications, renewals, cancellations, and other regulatory compliance matters
  • Support performance appraisal processes, annual increments, and bonus administration to drive employee motivation and retention
  • Coordinate staff insurance, medical claims, and employee engagement activities to promote staff welfare and workplace morale
  • Assist in implementing HR policies and ensure compliance with company policies and Singapore labour laws to uphold legal and ethical standards
  • Support general office administration and coordinate administrative tasks to maintain efficient office operations
  • Assist in organizing company meetings, training sessions, staff activities, and events to foster team collaboration and development
  • Support applications and coordination for government grants, training grants, and company support schemes to maximize available resources
  • Contribute to process improvements and HR digitalisation initiatives to enhance operational efficiency and data management

Required competencies and certifications

  • Knowledge of Singapore Employment Act, MOM regulations, CPF, payroll administration, and basic HR practices
  • Proficiency in Microsoft Office applications
  • Experience using HR/payroll systems (experience with WhyzeHR preferred)

Preferred competencies and qualifications

  • Diploma or Degree in Human Resource, Business Administration, or related discipline
  • Minimum 2-4 years of relevant HR experience, preferably in retail or service industry
  • Strong communication, interpersonal, and organisational skills
  • Ability to multitask, work independently, and manage responsibilities in a fast-paced environment
  • Positive attitude, resourcefulness, and willingness to learn
