Job Summary
The Operations supports the Operations Manager in the execution of daily operational activities across Human Resources, Compensation & Benefits, Accounting, and Internal Audit functions. This role focuses on coordination, administration, reporting, and follow-up to ensure smooth operations, compliance with internal policies, and effective communication between teams.
Key Responsibilities
- Operations & Administrative Support
- Support daily operational activities to ensure processes run smoothly and efficiently.
- Assist in coordinating tasks between OPS functions (HR, C&B, Accounting, Internal Audit) and other departments.
- Prepare operational reports, summaries, and documentation as requested.
- Track KPIs, action items, and deadlines; follow up on assigned tasks.
- Maintain organized records, files, and internal documentation.
Human Resources & Compensation & Benefits Support
- Assist with recruitment coordination, including interview scheduling and candidate communication.
- Support onboarding and offboarding processes (documentation, system access, checklists).
- Maintain and update employee records, contracts, and HR databases.
- Support payroll coordination and benefits administration by preparing data and documentation.
- Assist in implementing HR policies, procedures, and internal guidelines.
- Handle basic employee inquiries and escalate issues when necessary.
Accounting & Financial Operations Support
- Assist with accounts payable/receivable documentation and expense tracking.
- Collect, review, and organize invoices, receipts, and financial supporting documents.
- Support monthly closing activities by preparing schedules and reports.
- Coordinate with internal teams and external accountants when required.
- Support budget tracking and cost control monitoring.
Internal Audit & Compliance Support
- Assist in internal audit preparation, including document collection and process reviews.
- Help monitor compliance with internal policies, procedures, and regulations.
- Track audit findings, corrective actions, and follow-up status.
- Support external audits and regulatory inspections as required.
Reporting & Communication
- Prepare regular operational status reports for the Operations Manager and Director.
- Ensure timely and accurate communication between OPS and relevant stakeholders.
- Participate in meetings, take minutes, and follow up on assigned action items.
Other Duties
Perform other tasks and administrative duties as assigned by the Operations Head or Director.
Working Arrangement
Work may be performed at:
The Company's premises;
- Client or partner premises (if required); or
- Remotely during regular business hours, or as otherwise agreed.
Qualifications & Skills
- Education & Experience
- Bachelor's degree in Business Administration, Human Resources, Accounting, Finance, or a related field.
- 37 years of experience in operations, HR, accounting support, or administrative roles is preferred. Level: Middle - Senior
Skills & Competencies
- Strong organizational and coordination skills.
- Good attention to detail and accuracy.
- Basic understanding of HR, accounting, and operational processes.
- Ability to handle confidential information professionally.
- Good communication skills in English (written and verbal).
- Proficient in MS Office (Excel, Word, PowerPoint); experience with HR or accounting systems is a plus.
- Ability to work independently and manage multiple tasks.
