Job Description

Role Purpose Statement

The job incumbent is responsible for the accurate and professional coordination of the whole back office administrative process flow for BIVAC in his area of responsibility. He/She performs the job within the framework of the BV Quality Assurance System, the Code of Ethics and the BV Group policies.

Accountabilities

  • Coordination of all CDG field activities, carried out by the inspectors
  • Collection and distribution of correspondence for CDG activities
  • Typing and filling of all documents relating to CDG activities
  • Maintenance of stock of all BIVAC forms, inspection materials, office supply
  • Administration of issue CoC to VOC Exporter.
  • Administration of issue Invoice Charge to Exporter
  • Administration of inspection details carried out for other CRE's towards CRE-RTD
  • Administration for DSO
  • Ensure consistent application of all relevant policies and procedures
  • Ensure clear communication to all internal and external interfaces
  • Preparation of all information material needed to support the relevant organisational unit
  • Optimise administrative processes and improve efficiency

PERFORMANCE INDICATORS

  • Reply requirement to BV. Group and Exporter on time.
  • Issue original CoC to Exporter within 48 hours.
  • Issue Invoice Charge to Exporter on time.
  • Manage for DSO within 30 days

Knowledge, Skills & Experience

  • Graduate from University or secondary education with proper experience
  • Good English and local language skills
