Job Description: Investor Relations (IR) Coordinator
(Administrative & Secretariat Role)
Position Summary
The Investor Relations (IR) Coordinator provides administrative and secretarial support to the Investor Relations department. This role focuses on day-to-day coordination, documentation, and administrative tasks to ensure smooth IR operations. No financial analysis or valuation responsibilities are required.
Key Responsibilities
1) Administrative & Secretariat Support
- Act as the secretary and administrative support for the IR department.
- Manage calendars, meeting schedules, and coordination for IR team activities.
- Handle incoming phone calls for the IR department and route inquiries appropriately.
- Prepare, print, and organize documents and presentation materials for meetings.
2) Expense & Payment Administration
- Handle expense reimbursement and payment requests related to IR activities.
- Coordinate with Finance and Accounting teams on payment documentation and approvals.
- Track IR-related expenses and maintain supporting documents.
3) Travel & Logistics Coordination
- Arrange hotel bookings, transportation, and meeting venues for IR activities such as analyst meetings, site visits, roadshows, and conferences.
- Coordinate logistics for internal and external meetings, including room bookings and equipment setup.
4) Document Management & Filing
- Maintain proper filing, archiving, and version control of IR documents and records.
- Support document preparation for disclosures, meetings, and internal use.
- Assist with photocopying, scanning, and document distribution.
5) Coordination & Support Tasks
- Support coordination between the IR team and internal departments (Finance, Corporate Secretary, Communications).
- Assist in preparing simple meeting minutes, attendance lists, and follow-up notes when required.
- Provide general administrative support to ensure the IR team can operate efficiently.
Scope of Role (Clarification)
- This position does NOT involve financial analysis, valuation, forecasting, or analyst-level work.
- The role is focused on administrative, coordination, and secretarial responsibilities only.
Qualifications & Skills
Education & Experience
- Bachelor's degree in business administration or related fields.
- 13 years of experience in administrative, secretary, or coordinator roles.
- Experience supporting senior management or working in a corporate office environment is preferred.
Skills & Competencies
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Good communication skills; able to handle phone calls professionally.
- Ability to manage documents and confidential information with discretion.
- Basic English communication skills (reading and email coordination).
