Role Overview:
We are seeking an experienced M365 Business Analyst to act as a crucial bridge between our business stakeholders and technical teams. In this role, you will ensure the successful implementation, optimization, and adoption of Microsoft 365 solutions across the organization.
You will focus on gathering requirements, designing efficient workflows, and driving the adoption of core M365 tools, including Exchange, Teams, SharePoint, and OneDrive. The ideal candidate must have proven experience specifically in SharePoint, Exchange, and Teams, coupled with the mandatory capability to effectively translate complex business requirements into actionable technical specifications.
Key Responsibilities:
Requirements Gathering & Analysis
- Elicit, document, and translate business requirements into user stories with clear, testable acceptance criteria.
- Facilitate workshops and discovery sessions with stakeholders to define use cases, identify productivity gaps, and map out business needs.
Solution Design & Implementation
- Collaborate closely with technical and development teams to design M365-based solutions that perfectly align with broader business goals.
- Leverage the Power Platform and other automation tools to streamline and optimize business workflows.
Stakeholder Engagement
- Act as the primary liaison between business users, IT support, and development teams.
- Present solution concepts, progress reports, and business cases to organizational leadership in a clear and compelling manner.
Testing & Validation
- Coordinate and lead User Acceptance Testing (UAT) phases to ensure solution readiness, quality, and alignment with original business requests.
Governance & Compliance
- Ensure all designed solutions strictly adhere to internal security, compliance, and governance standards.
Training & Adoption
- Develop comprehensive training materials, documentation, and best practices to drive the effective and widespread use of M365 tools across the company.
Continuous Improvement
- Stay up-to-date on the latest Microsoft 365 advancements, features, and roadmaps.
- Lead proof-of-concept initiatives to evaluate new tools and assess their potential value to the organization.
Required Skills & Experience:
Mandatory Requirements
- Demonstrated hands-on experience working extensively with SharePoint, Exchange, and Microsoft Teams.
- Proven and highly developed capability to translate business requirements into technical requirements.
Experience & Technical Knowledge
- 5+ years of experience as a Business Analyst, preferably within enterprise-scale digital transformation projects.
- Deep functional knowledge of the Microsoft 365 ecosystem (Exchange, Teams, SharePoint, OneDrive, Outlook).
- Experience with the Microsoft Power Platform (Power Automate, Power Apps, Power BI) to drive automation and reporting.
Methodologies & Frameworks
- Strong understanding of both Business As Usual (BAU) operations and Project-based activities.
- Familiarity with ServiceNow (ITSM tools).
- Solid knowledge of ITIL processes, specifically pertaining to incident, request, and change management.

- Strong stakeholder management capabilities with the ability to influence and guide decision-making.
- Exceptional documentation skills with a keen eye for detail.
