About the Role
We are looking for a talented Office & Commercial Coordinator to join our team who will be responsible for providing comprehensive office administration support while also supporting marketing and commercial activities to enable smooth operations for sales, marketing, and events teams.
This role does not carry sales targets and does not perform sales activities. Instead, the role focuses on coordination, execution, and operational support to ensure commercial activities run efficiently and professionally.
Key Responsibilities:
Office Administration & Coordination
- Provide day-to-day administrative support for the office, including:
- Office supplies and equipment coordination
- Courier and logistics arrangements
- Travel arrangements (hotel booking, flight tickets) for staff and visitors
- Coordinate company activities and internal meetings (e.g. events, planning meetings)
- Manage office expenses, petty cash, and staff expense claims:
- Ensure timely submission and proper approval
- Process payments through SAP and liaise with outsourced accounting
- Support recruitment and onboarding:
- Prepare workspace, equipment, system access
- Coordinate induction logistics
- Maintain accurate records:
- Staff personal records, insurance information, all office records and contract/agreement.
- Office assets and inventory list
Marketing Support (from Admin Function)
- Support marketing activities and campaigns, including:
- Create social media content for Thailand Facebook page (minimum 3 posts per week) using Canva Pro
- Design banners and marketing visuals for online and offline use
- Create and edit short videos:
- Add subtitles and basic video editing for marketing use
- Support post-event marketing:
- First proof selection of photos from events
- Prepare and issue E-certificates after events
- Coordinate with suppliers and vendors:
- Source suppliers (printing, venues, hotels, event vendors)
- Support negotiation and coordination of processes
Commercial & Sales Support (Non-Sales Role)
- Act as a coordination point to support sales and marketing teams (without sales targets):
- Prepare materials for events and customer activities
- Track marketing and event assets
- Tracking and proceed with Gratis request, gratis claim and gratis delivery.
- Maintain and update data and reports as required:
- Support basic reporting and data tracking for commercial activities
- Serve as a key contact for internal coordination related to marketing and commercial operations
About You
Essential:
- Fluent in Thai; good working proficiency in English
- Strong organisational and coordination skills
- Proficient in MS Office (Excel, Word, Outlook, etc)
- Proficient in Canva Pro and VDO creator
- Ability to create social media content and basic videos (including subtitles)
- Ability to manage multiple tasks and work independently
- Detail-oriented with good follow-through
Desirable:
- Prior experience in office administration, marketing support, or commercial coordination
- Basic understanding of marketing and event support
- Experience working with vendors and suppliers
- Experience with SAP or similar ERP systems
