Location: Rayong, Thailand
Reports to: Operation Manager / Regional Operation Manager
Employment Type: Full-time, On-site
Job Summary
· We are seeking a proactive and well-organized HR & General Administration Executive to support the establishment and day-to-day operation of our AI Data Center Facility Management team in Rayong.
· This is a coordination-focused operations role. The successful candidate will keep the local office running — covering HR administration, recruitment coordination, employee onboarding, accommodation and transportation, vendor coordination, office administration, and support for the setup and operation of the company's Technical Training Center.
· Finance and legal matters are handled through the company's third-party partners; this role coordinates with those partners rather than performing finance or legal work in-house. We are therefore looking for strong external coordination and communication ability and a can-do attitude — not a finance, legal, or HR specialist.
· (-Role evolution note: this is a foundational, build-phase role. As the site and the Technical Training Center scale up, training-related and higher-volume recruitment responsibilities may transition to a dedicated Training Center Coordinator or recruiter, with this role narrowing back to core HR & GA.)
Key Responsibilities
1. HR & Recruitment Coordination
· Coordinate local recruitment logistics: job postings, interview scheduling, candidate communication, and onboarding documentation.
· Support work permit and visa administration for foreign employees.
· Maintain HR records and assist with employee welfare and administrative matters.
· Scope note: recruitment here is coordination/support, not full talent-acquisition ownership. If technician hiring for the project reaches high volume, a dedicated recruiter should be added rather than loading it onto this role.
2. General Administration
· Manage daily office administration and documentation.
· Coordinate accommodation, dormitory, shuttle bus, travel, and general employee logistics.
· Organize meetings, company activities, and office support services.
3. Procurement & Vendor Coordination
· Prepare Purchase Requisitions (PR) and coordinate Purchase Orders (PO).
· Obtain quotations, track purchases, verify invoices, and maintain asset records.
· Coordinate vendors for accommodation, transportation, office supplies, uniforms, cleaning, catering, courier, and other support services.
4. Training Center Support
· Assist in establishing the Technical Training Center, including classroom preparation, and training logistics.
· Support trainee registration, scheduling, examinations, attendance records, and certification administration.
5. Operational & Partner Coordination
· Support daily operational administration across HR, Operations, Procurement, and external vendors.
· Coordinate with the company's third-party finance and legal partners on payroll, accounting, labor, immigration, work-permit, and related administrative matters — acting as the local liaison, not the in-house specialist.
· Coordinate with government agencies as required, alongside the relevant partner or H/Q function.
6. Reporting
Prepare and maintain operational reports covering recruitment, onboarding, procurement, accommodation, transportation, vendor performance, training activities, and other administrative KPIs.
Requirements
Experience
· 3–5 years experience in HR, General Administration, Operations Support, or Project Administration.
· Experience in industrial, manufacturing, engineering, facility management, or data center environments is preferred.
· A technical background or hands-on experience in Data Center Operations or Critical Facility Management is an added advantage.
Skills
· Strong organizational, coordination, and multi-tasking skills — the core of this role.
· Excellent communication and external stakeholder / vendor management ability.
· Basic procurement knowledge; able to work with finance and legal partners.
· Proficient in Microsoft Office;
Language
· Thai (Native).
· English (Business proficiency) acceptable where Mandarin is not available.
· Mandarin Chinese strongly preferred (for HQ / management coordination).
Personal Attributes
· Organized, proactive, and detail-oriented.
· Service-minded, resourceful, and diplomatic — comfortable dealing with many stakeholders
· Strong sense of ownership with a genuine can-do attitude.
· Able to manage multiple priorities in a fast-paced, early-stage startup environment.
· High integrity, good interpersonal skills, and able to work independently.
