Key responsibilities will include:
- Manage the full spectrum of operations activities for the assigned exhibition and/or conference from pre-event planning and coordination to on-site execution
- Coordinate logistical elements of assigned exhibitions and/or conferences including venue and vendor management, AV, décor, catering, security, accommodation, transportation, registration, social events, freight forwarding and temp staffing amongst others
- Prepare, manage and maintain the Online Exhibitor Portal (OEP)
- Develop and manage relationships with internal teams and external service providers
- Supervise event setup, registration areas, logistics for designated events or specific areas of responsibility
- Support budget planning by gathering quotes, tracking expenditures, processing invoices, and raising purchase orders
- Supplier liaison and negotiating fees
- Recruit, train and supervise temporary staff for on-site operation
- Post-event evaluation with service providers, officials and team members
This position
- Reports to the Senior Operations Manager and work synchronously with the Singapore Operations team and local/Singapore Business Units
- Bridges communications between the suppliers and Business Units to successfully deliver high quality events in tight time schedules
- Works in direct contact with suppliers, negotiating, supervising and working in close collaboration to ensure the success of the events
We'd love for you to have:
- Bachelor degree in any related field
- Be fluent in verbal and written English
- 1 – 3 years of experience in professional event planning and execution, including managing large-scale or complex events
- Excellent eye for details
- Ability to multitask and work within tight timelines
- Be technologically savvy and comfortable with using new tools or software
- Be able to collaborate in a team environment
- Be willing to work extended hours, including evenings and weekends, depending on events needs
- Pleasant personality and good human relations
- Ability to solve immediate problems
