The Assistant to CEO (Operations & Administration) provides comprehensive executive and operational support to ensure the CEO's daily activities run smoothly and efficiently. This role combines executive calendar management, administrative gatekeeping, financial coordination, and office operations support. The ideal candidate is highly organized, detail-oriented, discreet, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage the CEO's calendar, including scheduling meetings, appointments, and internal catch-ups
  • Coordinate domestic and international travel arrangements (flights, accommodations, transportation, visa processing)
  • Organize hospitality and logistics for meetings and executive engagements
  • Review and screen departmental documents for accuracy and completeness before CEO approval
  • Prepare meeting materials, agendas, presentations, and summary notes
  • Maintain confidential files, records, and documentation (physical and digital)
  • Draft correspondence, reports, and support special projects as assigned
  • Oversee petty cash management, commission tracking, and expense reporting
  • Ensure financial documentation is properly recorded and reconciled
  • Manage office administrative tasks (business cards, QR codes, meal coordination, filing systems)
  • Act as a liaison between the CEO and internal/external stakeholders
  • Build and maintain professional relationships with clients, partners, and senior leaders
  • Support senior team members in tracking tasks and updating project milestones in company systems

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field
  • 23 years of experience in Executive Assistant, Personal Assistant, or similar administrative roles supporting senior management
  • Proven experience managing complex calendars, travel coordination, and executive-level documentation
  • Proficient in Microsoft Office, Google Workspace, and tools such as Notion
  • Strong organizational skills with exceptional attention to detail
  • High level of discretion and ability to handle confidential information
  • Excellent written and verbal communication skills in English
  • Proactive, self-driven, and capable of working independently
  • Strong time management and multitasking abilities in fast-paced environments
  • Professional interpersonal skills when interacting with senior stakeholders

Location:

Pink Line MRT: Chaeng Watthana 14 station Exit on the Big C side and take a motorcycle taxi from there.
