Job Summary
The Plant Administrative Officer is responsible for daytoday administrative and office operations, ensuring a wellorganized, safe, and professional working environment. This role focuses on facilities management, office services, visa and work permit coordination, procurement administration, visitor and reception support, and logistical support for company activities and global management visits.
Key Responsibilities
- Handle to manage and supervise maid, and gardener to ensure office cleanliness, pantry supplies, meeting rooms, and common areas are well maintained.
- Coordinate maintenance and repair work with vendors and facility g management team.
- Manage office access, keys, parking, and general facilities arrangements for employees.
- Manage procurement and inventory of stationery, pantry items, uniforms, and office supplies.
- Distribute uniforms and maintain uniform (Employee Uniform / Production Uniform) records.
- Monitor stock levels and prepare purchase requests as needed.
- Prepare and process Purchase Requisitions (PR) and Purchase Orders (PO).
- Coordinate with finance and vendors for quotations, deliveries, and invoices.
- Maintain vendor records and procurement documentation
- Coordinate company transportation, shuttle, or driver arrangements.
- Support transportation planning for employees and visitors when required.
- Coordinate logistics for meetings, events, and company activities.
- Coordinate visa, work permit, and immigration documentation for expatriates and visitors and/or suppliers.
- Liaise with government offices, agents, and external service providers.
- Maintain accurate records and track visa/work permit expiry dates.
- Support document preparation for audits and inspections.
- Support HR and management team in organizing company activities, events, and meetings
- Coordinate venue setup, catering, materials, and logistics
- Provide onsite administrative support during events
- Prepare reports, schedules, and administrative documents
- Support adhoc administrative tasks as assigned
- Act as receptionist when required (Only special events)
- Manage visitor registration, badges, and meeting room coordination
- Ensure professional frontdesk service and lobby presentation
- Support lobby setup and coordination during global management or VIP visits
Qualifications & Requirements
Education
- Bachelor's degree in Human Resources, Business Administration, or a related field
Experience
- 13 years of experience in HR administration or a similar role
- Experience with visa/work permit coordination and procurement is an advantage
Skills & Competencies
- Strong administrative and organizational skills
- Serviceminded and professional attitude
- Good communication skills in Thai and basic English
- Ability to coordinate with multiple vendors and stakeholders
- Attention to detail and ability to handle confidential information
- Proficient in MS Office (Word, Excel, Outlook)
