As Procurement & Import Specialist is focused to drive our comprehensive sourcing, procurement, and import operations. The ideal candidate is a Strategic Executor—someone who can envision the big picture but is also highly hands-on. This role requires exceptional resourcefulness in sourcing for diverse company projects, top-tier negotiation skills to maximize cost savings, and precise execution of import operations (FDA & Customs). Furthermore, the candidate must take full end-to-end ownership of the procurement lifecycle, seamlessly managing everything from vendor negotiation to the final payment request documentation.
What You Will Do
Take charge of sourcing products and services across all business activities, including:
Office & SG&A: Office supplies, IT equipment, employee benefits (Group Insurance, Visa & WP services), and facility management.
Warehouse Operations: All equipment, supplies, and services related to warehouse operations.
Campaign & Project-based Sourcing: Proactively source novel products and services to support dynamic marketing campaigns. Must be highly adaptable and capable of fulfilling urgent, non-routine requests within tight deadlines.
Strategic Negotiation: Act as the lead negotiator. Compare commercial terms and aggressively negotiate pricing to achieve maximum cost-saving and value for the company without compromising on quality.
Take full accountability for the entire Source-to-Pay process with a hands-on approach to administrative tasks.
Personally collect and verify all related billing documents (Invoices, Delivery Notes, POs etc.) upon receipt of goods/services. Independently input the necessary data into the company's system to process Payment Requests, ensuring all paperwork is accurately submitted to the Finance/Accounting team for timely vendor payments.
Shipment Tracking & Communication: Closely monitor production statuses and shipment schedules. Maintain proactive communication with overseas suppliers and freight forwarders to ensure smooth daily import operations.
FDA & Customs Compliance: Prepare, verify, and manage all necessary import documentation, including Certificates of Analysis (COA) and License per Invoice (LPI), ensuring strict compliance with Thai FDA requirements and smooth customs clearance.
Utilize the company's ERP system (NetSuite) to extract data and conduct Spend Analysis, using these insights to plan procurement strategies and increase negotiation leverage.
Build and maintain a robust Vendor Management database. Continuously evaluate vendor performance (SLA); proactively source alternative vendors if current ones underperform.
