Purchasing Assistant, Thailand (1-Year Contract)

The Purchasing Assistant plays a key role in supporting the purchasing and procurement processes. This position is responsible for coordinating and executing daily purchasing activities including preparing purchase orders, managing inventory and vendor relations and ensure timely delivery of materials and supplies. You will also involve in handling administrative and clerical tasks to support smooth operations.

The Position:

  • Support price negotiation to secure the most cost effective deals for raw materials (RM), ingredients (ING), packaging materials (PACK) and other procurement categories
  • Select vendors, prepare purchase orders (POs) and arrange service contracts as required
  • Procure office and shop supplies to ensure operational continuity
  • Monitor inventory levels and generate POs accordingly to maintain optimal stock
  • Track and follow up on orders to ensure timely shipment and delivery as per agreed timelines
  • Maintain accurate purchasing records, documentation and files to ensure compliance with established policies and regulatory guidelines.
  • Manage administrative tasks including petty cash control.
  • Handle general and program specific clerical duties such as answering phone calls, distributing POs, scheduling, photocopying and faxing to support purchasing department operations
  • Coordinate with production and accounting teams to process and summarise monthly purchasing data.
  • Perform additional duties as assigned to support efficiency and effectiveness
  • Conduct and review supplier audits to ensure compliance with quality and standard requirements
  • Address and resolve issues related to purchasing activities including supplier disputes, transportation delays and delivery discrepancies
  • Foster collaborative relationships with internal and external stakeholders
  • Ensure compliance with company safety policies and contribute to maintaining a positive, safe and respectful working environment
  • Uphold and respect the company's confidentiality policies ensuring sensitive information is handled appropriately and securely.

The Ideal Candidate:

  • Bachelor's Degree in Business or related field
  • At least 2 years of experience in purchasing or procurement
  • Proficient in Microsoft Office and English Language (both spoken and written)
  • Familiarity with purchase order processes, invoicing and expense reporting is preferred.
  • A strong team player with a proactive attitude and ability to multitask
  • Quick learner and self-starter, capable of working independently with minimal supervision
