Job Description

The Retail Operations Associate supports the day-to-day operations of all YVIS retail stores, ensuring stores run smoothly, operational issues are resolved quickly, and communication between stores and Head Office is clear and well coordinated.

This role is highly execution-focused and requires strong organization, follow-up, and problem-solving skills.

Key Responsibilities

1. Daily Store Operations

  • Coordinate day-to-day operational matters across all retail locations.
  • Act as the main coordination point for routine store issues and requests.
  • Follow up on store problems until they are fully resolved.
  • Ensure stores have the necessary tools, equipment, supplies, and operational materials.
  • Maintain retail SOPs, forms, checklists, and store-related documents.
  • Support store opening, closing, relocation, renovation, and other operational activities.

2. Store Maintenance & Facilities


  • Coordinate maintenance and minor repair requirements for all stores.
  • Arrange technicians, vendors, mall management, or building management
  • Follow up on repair progress and ensure issues are resolved within an appropriate timeline.
  • Coordinate quotations and repair expenses according to company approval processes.
  • Maintain records of maintenance requests, repair costs, vendors, and completion status.

3. Sales & Performance Reporting


  • Prepare daily, weekly, and monthly retail sales reports.
  • Track store sales performance against targets.
  • Monitor key retail KPIs and highlight unusual trends or issues.
  • Support the Retail Operations Manager with basic store performance analysis.

4. Store Communication & Coordination


  • Coordinate communication between Head Office and store teams.
  • Ensure stores receive accurate and timely information regarding promotions, product launches, campaigns, operational changes, and company announcements.
  • Consolidate store questions, requests, and feedback and coordinate with relevant departments.
  • Follow up with internal teams to ensure store requests are completed.

5. Inventory & Stock Coordination


  • Coordinate stock replenishment and stock transfers between stores and Warehouse.
  • Follow up on out-of-stock products, stock discrepancies, and inventory issues.
  • Support stock counts and inventory reconciliation.
  • Coordinate with Merchandising and Warehouse teams regarding product availability.
  • Ensure stores receive necessary stock and materials before campaigns and launches.

6. Campaign & Product Launch Support


  • Support retail preparation for product launches, promotions, campaigns, and special events.
  • Prepare store readiness checklists.
  • Ensure stores receive products, promotional information, POS materials, displays, and operational guidelines before launch.
  • Follow up with store teams to confirm readiness.
  • Collect operational feedback and issues after launches.

7. Store Supplies & Administration


  • Coordinate purchasing and replenishment of store supplies such as packaging materials, stationery, uniforms, cleaning supplies, and operational equipment.
  • Maintain records of store equipment and operational assets.
  • Support staff scheduling and manpower coordination when required.
  • Support onboarding preparation for new retail employees.
  • Coordinate documents and administrative requirements with malls and landlords.

8. Store Visits & Operational Standards


  • Conduct regular store visits to check operational conditions.
  • Monitor cleanliness, stock organization, equipment condition, store facilities, and operational standards.
  • Record issues and follow up on corrective actions.
  • Support the Retail Operations Manager in ensuring consistent standards across all locations.

Qualifications


  • Bachelor's degree in Business Administration, Retail Management, Marketing, or related field.
  • 1–3 years of experience in retail operations, retail coordination, sales operations, or a related role.
  • Experience in fashion, lifestyle, beauty, or consumer retail is an advantage.
  • Highly organized with strong attention to detail.
  • Strong coordination and follow-up skills.
  • Proactive and comfortable solving practical day-to-day problems.
  • Good communication and interpersonal skills.
  • Comfortable working with numbers and preparing reports.
  • Proficient in Microsoft Excel or Google Sheets.
  • Able to travel between stores when required.
  • Flexible to support urgent store issues, launches, or campaigns occasionally outside normal working hours.
