Monitor tender announcements from government and private hospitals and relevant tender platforms on a daily basis.
Review and analyze tender documents, including Terms of Reference (TOR), tender conditions, and technical specifications, to ensure full compliance.
Prepare, verify, and compile complete tender submission documentation within prescribed timelines.
Coordinate with internal stakeholders, including Sales, Marketing, Regulatory Affairs, and external partners, to obtain accurate and complete supporting information.
Submit tender job requests and product documentation through designated systems and channels.
Maintain accurate and systematic records of all tender-related documentation, pricing submissions, and correspondence.
Support post-tender processes, including contract documentation, purchase order follow-ups, and performance tracking.
Ensure adherence to internal policies, compliance standards, and audit requirements.
Quotation and Sales Documentation
Prepare and process quotations through internal systems in accordance with established procedures and timelines.
Ensure pricing accuracy and confirmation of commercial terms prior to quotation submission.
Prepare official sales-related correspondence, including product exchange letters, product shortage notifications, and quality assurance communications.
Sales Reporting and Inventory Coordination
Prepare and distribute regular stock and sales reports to relevant stakeholders.
Submit sales volume and value data for reconciliation between internal systems and external partners.
Update monthly sales reports and maintain accurate customer master data.
Monitor inventory levels and product expiry dates and coordinate stock movements to optimize inventory utilization and minimize risk.
Samples, Enlisting Goods, and Sales Support
Review and process requests for samples and enlisting goods in compliance with local policies and approval workflows.
Coordinate with inventory and logistics teams to ensure timely stock transfer and delivery.
Maintain complete documentation to support traceability and audit readiness.
Provide administrative support for sales activities, including exhibitions and promotional events.
Requirements
Bachelor's degree in business administration, management, or a related field.
5 years of relevant experience in sales administration, tender management, or commercial operations; experience in the pharmaceutical or healthcare sector is preferred.
Solid understanding of tender procedures, documentation requirements, and compliance standards.
Strong organizational skills with a high level of accuracy and attention to detail.
Ability to manage multiple priorities and meet deadlines in a structured environment.
Effective communication and coordination skills in Thai and English.
Proficient in Microsoft Office applications; experience with sales administration systems is an advantage.
Demonstrated ability to work independently and collaboratively within cross-functional teams.
