Position Purpose
  • Maintain high accuracy and timeliness in handling all import/export shipping documentation and operational problem-solving.
  • Deliver exceptional service standards to customers to maximize client satisfaction and retention.
  • Provide support to the ML Manager to drive business growth, efficiency, and overall profitability.
  • Proactively identify and capitalize on sales opportunities to increase top-line revenue for the ML division.
  • Continuously develop maritime logistics knowledge, skills, and industry expertise.
Interrelations
  • Direct Report: Maritime Logistics Manager
  • Team: Maritime Logistics Team
  • Key Stakeholders: Clients, Shipping Lines, Freight Forwarders, Logistics Providers, Internal Operations, Transport Companies, Customs Brokers, and Overseas Agents.
Formal Authority
  • Authorized to act within standard company guidelines, standard operating procedures (SOPs), and delegated authority levels established by the Maritime Logistics Manager.
Main Responsibilities
Customer Service & Stakeholder Coordination
  • Serve as the primary point of contact for clients regarding shipment bookings, operational updates, and inquiries.
  • Proactively update all stakeholders on shipment status, sailing schedule and potential delays.
  • Provide tailored logistics solutions regarding depot, equipment availability, vessel schedules, terminal routing option and concerns.
  • Continuously promoting service excellence and delivering value-added solutions to enhance customer retention and satisfaction.
Documentation, Liner Agency & Operations
  • Manage end-to-end booking arrangements, including booking confirmations, booking lists, and empty container release protocols for shipper stuffing.
  • Issue and verify essential shipping documentation, Delivery Orders (D/O), and export/import manifests.
  • Process electronic data interchange (EDI) and paperless customs submissions in strict compliance with local customs deadlines and regulations
  • Update internal operational systems and external partner portals (e.g., K-Navi) in real time.
  • Manage overseas agent correspondence to ensure smooth cargo handovers both origin and destination.
Sales Support & Commercial Development

  • Assist the Maritime Logistics Manager in achieving department budgets, annual sales targets, and overall revenue growth.
  • Identify upselling and cross-selling opportunities to maximize top-line revenue.
  • Handle incoming freight inquiries, generate rate quotes, and follow up on sales leads with partners.
  • Build and maintain strong operational relationships with carriers, shipping lines, and terminal operators to secure competitive rates, space allocations, and priority bookings.
  • Prepare, analyze, and submit routine market intelligence and sales performance reports to management and principals.

  • Billing, Administration & Financial File Closure
    • Handle accurate invoices for freight charges, terminal handling, administrative fees and concerns.
    • Monitor and follow up on outstanding client payments against issued invoices in coordination with credit control.
    • Promptly verify vendor, agent, and carrier invoices for accuracy.
    • Complete job file reconciliations, perform final job closing, and complete all cross-billing within designated operational timelines.
    Quality, Health, Safety, and Environment (HSE)
    • Participate actively in workplace risk assessments and help foster a proactive safety culture.
    • Complete required Health, Safety, and Environment (HSE) training and maintain necessary certifications.
    • Follow safe working procedures and utilize Personal Protective Equipment (PPE) when required.
    • Inspect equipment and work areas regularly to identify and eliminate potential hazards.
    • Report all accidents, incidents, near-misses, injuries, and safety non-compliance issues according to internal procedures.
    Education & Experience
    • Bachelor's degree in Logistics, Supply Chain Management, Maritime Studies, Business Administration, or a related field.
    • 2–5 years of experience in maritime logistics, liner agency operations, or ocean freight forwarding customer service/sales support.
    • Language Skills: Fair to good command of spoken and written English.
    • Strong customer service mindset with excellent interpersonal and communication skills.
    • Proactive, highly organized, detail-oriented, and responsible.
    • Positive attitude with a willingness to learn and adapt to new challenges.
    • Strong coordination skills with the ability to work effectively under pressure and meet tight deadlines.
    • Excellent team player capable of collaborating across multiple departments and external partners.

    Knowledge & Skills
    • Maritime & Technical Expertise: Solid understanding of ocean freight operations, incoterms, container equipment types, vessel scheduling, and customs clearance procedures.
    • Systems Proficiency: Hands-on experience with maritime operating platforms, partner portals (e.g., K-Navi), customs paperless/EDI systems, and standard MS Office (Excel, Word).
    • Communication & Negotiation: Strong verbal and written communication skills; ability to build rapport with clients, carriers, and international agents.
