Key Responsibilities:
Administrative Support:
- Manage and organize the EVP's calendar, schedule meetings, and coordinate appointments.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Handle incoming correspondence, emails, and calls, ensuring timely responses.
Documentation and Reporting:
- Draft, edit, and proofread reports, presentations, and other documents as required.
- Maintain and organize confidential files and records for easy access and retrieval.
Communication and Coordination:
- Serve as the primary point of contact between the EVP and internal/external stakeholders.
- Liaise with department heads, clients, and business partners to facilitate effective communication.
- Coordinate with other executives assistants to ensure alignment on schedules and projects.
Project and Event Management:
- Assist in planning and executing events, conferences, and key initiatives led by the EVP.
- Monitor project timelines and ensure deadlines are met.
Travel Management:
- Arrange and manage travel itineraries, accommodations, and transportation for the EVP.
- Handle expense reports and ensure timely reimbursement and record-keeping.
Qualifications:
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience: 5+ years of experience as a secretary or executive assistant, preferably in the retail industry.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion and the ability to handle confidential information.
