Position Overview
The Senior Accountant / Logistics & Admin Executive is responsible for overseeing financial and accounting operations, while managing logistics, importation, and administrative functions in Thailand. The role ensures compliance with Thai accounting standards, tax regulations, Thailand FDA (TFDA) requirements, Thai Customs laws, and internal company policies, supporting efficient business operations within a regulated medical device environment.
Essential Job Functions
Accounting & Finance
- Handle full-set accounting in day to day transactions, month-end and year-end closing with
- reports that are reliable, accurate and valid
- Timeliness preparation and submission of financial statements, management reports, cash flow forecasts and all local statutory reports
- Control and monitor actual expenses against budget and cashflow management
- Ensure compliance to company policies, with Thai accounting standards, tax regulations, and statutory requirements
- Prepare and file VAT, WHT, corporate income tax, and other statutory filings
- Liaise with external auditors, tax consultants, banks and any local authorities as required
- To review and improve all processes including Importation accounting (Flowchart, Deposit, Final
- Invoice) and Tax accounting
- Develop and/or improve SOP
- Support regional finance reporting and internal audits as required
Logistics & Importation
- Coordinate importation and shipment activities for medical devices in compliance with Thailand FDA
- (TFDA) and Thai Customs Department requirements, including customs clearance and delivery
- schedules.
- Prepare, review, and manage import permits, shipping documents, customs declarations, invoices,
- packing lists, and airway bills/bills of lading
- Liaise with overseas manufacturers, local distributors, freight forwarders, customs brokers, and logistics
- service providers
- Prepare and validate freight and importation cost quotations from forwarders.
- Draft and process importation-related invoices in coordination with Finance
- Monitor shipment status end-to-end and resolve customs, regulatory, or logistics issues
- Ensure importation activities align with TFDA product registration status and licensing scope
- Maintain accurate importation, shipment, and distribution and traceability records to support TFDA
- inspections and post market surveillance.
- Generate monthly shipment and importation reports for internal and regulatory use
- Coordinate with Manufacturers and QA on product defects, non-conformities, CAPA, and quality issues
- Conduct local distributor and warehouse audits in accordance with TFDA Good Distribution Practice for Medical Device (GDPMD)
- Ensure compliance with TFDA Good Distribution Practice for Medical Device (GDPMD)
- Review logistics contracts and agreements liaising between internal teams and clients
Administrative & Office Support
Oversee general office administration and vendor management
Manage contracts, renewals, and service agreements (office lease, utilities, service providers)
Support HR administration, staff claims, and purchase requisition
Maintain company records, licenses, and statutory documents
Provide administrative and operational support to Management as required
Any ad hoc tasks and projects as required
Qualification & Experience
- Bachelor's degree in Accounting, Finance, Business Administration, Logistics and warehouse
- management or related field
- Minimum 58 years of relevant experience in accounting and logistics operations
- Strong knowledge of Thai tax laws, accounting standards, and statutory compliance
- Hands-on experience in logistics, importation, and TFDA-regulated industries (medical devices
- preferred)
- Familiarity with TFDA GDPMD and customs clearance processes
- Proficient in Microsoft Excel and accounting systems (e.g. xero)
- Strong organizational, analytical, and problem-solving skills
- Ability to manage multiple functions independently
- Proficient in Thai and English (written and spoken)
