Responsibilities:
1.Office Administration and Supplies
- Welcome internal and external visitors with a positive and helpful attitude
- Answering phones in a professional manner, and routing calls as necessary
- Provide various administrative support to internal and visitors including but not limited to taking notes, handling incoming and outgoing mail both local and international
- Work closely with the housekeeper to ensure the cleanliness and tidiness of the office area
- Ordering daily lunch for staff and other meals as assigned
- Arrange new year's gift baskets for vendors in Thailand and outside of Thailand
- Coordinate and Communicate with the housekeeper in Oversea on the work schedule, tasks, groceries order, and other requests.
- Purchase office inventory and groceries, stock management to ensure stationary, office supplies, equipment, groceries are available at all time
- Sourcing products according to specification assigned
- Maintain and update vendor's list and pricing
- Monitor and coordinate with suppliers to ensure smooth custom clearance and on-time deliveries
2.Scheduling and others
- Preparing meeting room and equipment both internal and external meetings
- Take the lead in organizing staff activities and social event i.e. staff's birthday, staff meeting, new year's party, etc.
- Take the lead to arrange the formal and informal dining both internal and external to ensure all guests satisfy with service experiences
- Accommodation booking for internal and external guests, communicate with the vendors on billing and payment
- Transportation booking for internal and external guests
- Handle the renewal of company's vehicles insurance
- Ad-hoc tasks assigned by manager
3.Personal Assistant Duties:
- Provide daily administrative support to executives, including managing calendars, scheduling appointments, and organizing meetings.
- Handle travel arrangements, including flight bookings, accommodation, and itineraries.
- Prepare and edit correspondence, reports, and presentations.
- Maintain confidentiality and discretion with sensitive information.
- Serve as a liaison between executives and internal/external stakeholders.
Skills and Experience:
- Fluency in Thai and English (oral and written)
- Excellence communications skills must be able to communicate clearly and effectively convey information
- Advance administration skills including Microsoft Word, PowerPoint, Excel and office equipment operation
- Wide range of knowledge in fine dining including venue, dishes, service, customer experiences
- Good sense in sourcing household items and home decor
Strong organization skills, attention to detail and ability to handle multiple tasks in a fast-paced environment
