Senior Officer Marketing Operation Coordinator

Job Description:

As a Senior Officer – Marketing Operation Coordinator, you will be responsible for supporting the day-to-day operations of the marketing and e-commerce team by coordinating with internal departments, external vendors, and business partners. You will act as the central operational bridge connecting internal departments (Procurement, Finance, Operation, and Customer Service), external vendors, platform partners and ensure that marketing activities, administrative processes, and payment procedures are executed accurately, efficiently, and on schedule. This role plays an important part in maintaining smooth marketing operations and supporting project execution across various channels.

Roles and Responsibilities:

Marketing & E-Commerce Business Operations Support

  • Support the execution of marketing campaigns and promotional activities across E-Commerce, CRM, Marketplace, and Digital Marketing channels.
  • Coordinate campaign requirements and creative asset delivery with relevant internal teams, agency partners, and external vendors.
  • Assist in managing influencer product seeding, affiliate link tracking, creator communication, and partner payout administration.
  • Assist in preparing campaign-related documents, operational reports, and presentation.
  • Monitor project timelines, tracking tasks including campaign deliverables, and actively follow up on pending action items.

Payment Administration

  • Coordinate with suppliers, media partners, and service providers regarding project deliverables and required documents.
  • Follow up on quotations, contracts, tax invoices, and supporting financial documentation.
  • Maintain organized vendor records and complete marketing documentation portfolios.
  • Prepare and process Purchase Requisitions (PR), Purchase Orders (PO), Goods Receipt (GR), and payment-related transactions through SAP.
  • Coordinate closely with Procurement, Finance, and Accounting teams to ensure the timely and compliant processing of vendor payments.
  • Track payment status and follow up proactively on outstanding transactions.
  • Ensure all supporting documents comply strictly with company policies, audit trails, and approval workflows.
  • Maintain accurate, up-to-date tracking records of marketing expenses, committed spend, and overall budget utilization.

Project Coordination

  • Support cross-functional projects by coordinating with relevant stakeholders.
  • Schedule meetings, prepare meeting materials, and document key discussion points.
  • Maintain project trackers and monitor progress updates.
  • Escalate issues and delays when necessary.

Documentation and Reporting

  • Organize and maintain marketing documents, contracts, approvals, and project records.
  • Prepare routine reports related to project status, spending, and operational activities.
  • Support data consolidation and presentation preparation for management review.

Qualifications:

  • Bachelor's degree in Marketing, Business Administration, Communications, or related fields.
  • 2–4 years of experience in Marketing Coordination, Administration, Project Coordination, Sale Coordination or related functions.
  • Experience in SAP processes, including PR, PO, GR, and invoice processing, is preferred.
  • Experience working with external vendors and cross-functional teams.
  • Strong coordination and follow-up skills.
  • Good organizational and time management abilities.
  • Attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Excel, PowerPoint, and Word.
  • Knowledge of SAP systems.
  • Ability to manage multiple assignments simultaneously.
  • Basic understanding of marketing and e-commerce operations.
