Job Description

About The Role

As a Senior Operations Executive (Logistics & Distribution), you will be responsible for the day-to-day coordination and execution of logistics, order fulfilment, inventory and warehouse operations within a regulated medical device environment.

You will work closely with Sales, Finance, Warehouse, freight forwarders, couriers and other external partners to ensure products are received, stored and delivered accurately and on time. The role requires strong operational coordination, attention to detail and the ability to resolve issues quickly to keep the supply and delivery process running smoothly.

Key Responsibilities

Order Fulfilment & Operations

  • Coordinate end-to-end order fulfilment activities from order processing through to delivery.
  • Work closely with the Sales Team to understand order requirements, including project-based, planned and urgent orders.
  • Monitor stock availability and order status, and follow up on outstanding orders and delivery requirements.
  • Coordinate with internal teams to resolve daily operational issues relating to product availability, order status, pricing and delivery.
  • Monitor fulfilment performance and support initiatives to improve OTIF and customer service levels.

Logistics & Distribution

  • Coordinate inbound shipments with freight forwarders, couriers and other logistics service providers.
  • Monitor shipment schedules, ETAs and delivery status to ensure timely receipt and distribution of products.
  • Follow up on shipment delays, discrepancies, damages and other logistics-related issues.
  • Coordinate import and customs clearance activities and ensure the required shipping and import documentation is complete and accurate.
  • Monitor logistics service providers against agreed service levels and address operational issues where required.
  • Plan incoming shipments in line with available warehouse capacity and storage requirements.
  • Identify opportunities to improve logistics efficiency, delivery performance and transportation costs.

Inventory Management

  • Maintain accurate inventory records and ensure all inventory transactions are updated correctly in the ERP system.
  • Process and verify transactions including GRNs, POs, invoices, stock movements and new item creation.
  • Monitor inventory levels, stock ageing, slow-moving and expiring products, and follow up on required actions.
  • Coordinate regular physical stock checks and investigate inventory discrepancies.
  • Ensure incoming products are received, checked and recorded accurately.
  • Prepare inventory and operational reports, including Inventory Ageing Reports and other reports as required.
  • Work closely with Finance and relevant internal teams to resolve inventory, documentation and invoice discrepancies.

Warehouse Operations

  • Coordinate with warehouse teams to ensure products are properly received, stored, handled and dispatched.
  • Ensure effective use of available warehouse space and appropriate storage of medical devices.
  • Monitor warehouse processes to ensure inventory is maintained accurately and securely.
  • Support stock counts, inventory checks and other warehouse activities as required.
  • Ensure warehouse and logistics activities comply with company procedures and applicable medical device requirements.

Reporting & Compliance

  • Prepare regular operational reports and performance updates, including inventory, logistics, fulfilment and delivery performance.
  • Monitor key operational indicators such as inventory accuracy, order fulfilment, delivery performance and OTIF.
  • Ensure logistics, inventory and warehouse documentation is complete, accurate and properly maintained.
  • Support internal and external audits and ensure operational activities comply with applicable regulatory and company requirements.
  • Support continuous improvement initiatives to improve operational efficiency and service levels.

Ad Hoc Support

  • Support operational projects and other assignments as required by the manager.

Requirements

  • Bachelor's degree in Logistics, Supply Chain, Business Administration, Operations Management or a related field.
  • Minimum 5 years of experience in logistics, distribution, warehouse or operations, preferably within a distribution environment.
  • Experience coordinating freight forwarders, couriers, import shipments and customs clearance.
  • Hands-on experience in inventory management, order fulfilment and warehouse operations.
  • Experience working with ERP or inventory management systems; experience with Microsoft Dynamics 365 Business Central is an advantage.
  • Good understanding of import/export documentation and logistics processes.
  • Experience in the medical device or healthcare industry is an advantage.
  • Good command of English and Thai.
  • Good working knowledge of MS Excel, including VLOOKUP and Pivot Tables.
  • Strong organisational skills with the ability to manage multiple priorities and follow through on operational matters.
  • Strong attention to detail and accuracy, particularly in inventory and system transactions.
  • Good problem-solving and coordination skills, with the ability to work effectively with internal teams and external service providers.
  • Proactive approach to identifying operational issues and improving processes.
  • Knowledge of medical device regulations and relevant compliance requirements is an advantage.
