Role Overview
The Senior Procurement Executive is responsible for managing day-to-day procurement and logistics operations, ensuring shipments are handled accurately and on schedule, customer orders are fulfilled promptly, and all supporting documentation is properly maintained.
The role focuses on shipment coordination, cost management, inventory control, and cross-functional collaboration to support efficient and reliable business operations.
Key Responsibilities
- Coordinate with freight forwarders, warehouses, suppliers, and internal teams on shipment receiving, clearance, and delivery.
- Plan and manage transportation and delivery schedules to ensure timely order fulfilment.
- Prepare and maintain procurement and logistics documentation, including purchase orders, shipping documents, delivery records, and tracking information.
- Monitor inventory levels and ensure stock records are complete, accurate, and regularly updated.
- Track and control procurement-related costs, including transportation, warehousing, and order-fulfilment expenses.
- Identify opportunities to improve delivery efficiency and optimise operational costs.
- Prepare monthly procurement performance reports and monitor relevant key performance indicators.
- Liaise with finance, operations, and other departments to ensure procurement activities comply with company policies and standards.
- Resolve shipment, delivery, documentation, and inventory discrepancies in a timely manner.
- Support ad hoc procurement, logistics, and operational assignments as required.
Skills and Competencies
- Strong organisational, planning, and coordination skills, particularly in shipment and order management.
- Excellent interpersonal and communication skills, with the ability to work effectively with internal and external stakeholders.
- Proficiency in Microsoft Office, particularly Excel and Word, for record-keeping, analysis, and reporting.
- Fluency in Mandarin is required to communicate with logistics partners and suppliers in China.
- Strong attention to detail and the ability to maintain accurate documentation.
- Reliable, resourceful, and capable of working independently under pressure.
- Good problem-solving skills and the ability to respond effectively to changing operational priorities.
Qualifications and Experience
- Degree or diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
- 3 to 5 years of relevant experience in procurement, logistics, supply chain, or operational coordination.
- Practical experience in shipment coordination, inventory management, and order fulfilment.
- Experience using ERP, inventory management, or order-tracking systems would be an advantage.
