About Us
This role exists to ensure sufficient stock of POS hardware, accessories, and related materials is available and allocated on time to support new merchant onboarding, equipment installation, replacement, and daily operations.
You will coordinate procurement, inventory, warehouse activities, equipment allocation, logistics, and supplier management. Your responsibility is to ensure the entire supply chain operates smoothly and to prevent stock shortages, delivery delays, or inaccurate inventory records from affecting merchant onboarding and company operations.
You will also be responsible for sourcing, evaluating, and managing suppliers, negotiating prices, and following up on delivery progress, product quality, and after-sales service. You are expected to maintain good supplier relationships and ensure the company receives stable, timely, and cost-effective supplies.
In addition, you will prepare DOA (Dead on Arrival) Reports and Defect Reports, document equipment issues and supporting evidence, and follow up closely with suppliers on inspection, repair, replacement, warranty, and resolution progress.
Your Day-to-Day:
- Plan and coordinate the procurement, replenishment, storage, and delivery of POS hardware and accessories
- Manage POS terminals, printers, routers, tablets, payment devices, spare parts, and other operational materials
- Prepare replenishment plans based on new merchant onboarding forecasts, replacement requirements, and safety-stock levels
- Maintain accurate inventory quantities, serial numbers, asset statuses, and equipment movement records
- Allocate hardware for new merchant onboarding, equipment replacement, outlet relocation, and internal use
- Oversee receiving, inspection, labelling, storage, picking, packing, and outbound processes
- Conduct regular stock counts and investigate discrepancies, missing equipment, damaged stock, and unrecorded movements
- Source and evaluate new suppliers by comparing product pricing, quality, delivery timelines, and after-sales service
- Negotiate pricing, payment terms, warranty coverage, and delivery arrangements with suppliers
- Follow up on purchase orders, delivery dates, outstanding orders, and supplier delivery progress
- Evaluate supplier performance based on pricing, product quality, delivery reliability, responsiveness, and after-sales service
- Prepare DOA Reports and Defect Reports with clear issue descriptions, photos, videos, and equipment details
- Follow up with suppliers on the inspection, repair, replacement, warranty, and resolution of defective equipment
- Manage defective equipment, returns, repairs, replacements, and warranty claims
- Coordinate with suppliers, courier companies, warehouse personnel, Finance, Onboarding, Customer Support, IT, and Sales teams
- Organise and maintain quotations, purchase orders, delivery orders, invoices, warranty records, and inventory documents
- Prepare inventory, procurement, ageing-stock, fulfilment, and supply chain performance reports
- Identify potential supply chain risks and take timely action before they affect merchant onboarding or operations
- Improve supply chain SOPs, inventory controls, workflows, and cost efficiency
- Guide junior team members and ensure daily tasks are completed accurately and on time
What You Bring to the Table:
Technical Skills (Maximum 3)
- Inventory planning, procurement coordination, and inventory management
- Familiarity with inventory, warehouse management, or asset-tracking systems
- Ability to use Microsoft Excel or Google Sheets for data analysis, demand forecasting, and reporting
Soft Skills (Maximum 3)
- Strong planning, time management, and problem-solving skills
- High attention to detail and accountability for company assets
- Strong communication, negotiation, and cross-functional coordination skills
Language Requirements
- Proficiency in both English and Chinese is a must and Bahasa Melayu is an added advantage
Relevant Exeperiences
- At least 2 years of relevant experience in supply chain, procurement, inventory management, warehouse management, logistics, or hardware distribution
- Candidates with 1–2 years of experience in a senior position or team coordination role will have an advantage
- Experience managing electronic devices, POS hardware, IT equipment, payment terminals, or serialised assets will be an advantage
- Experience coordinating with suppliers, courier companies, warehouse personnel, and internal teams
- A diploma or degree in Supply Chain Management, Logistics, Business Administration, Operations Management, or a related field is preferred
