The main responsibility for this position is to support the brand standards revisions, design reviews, project coordination assistances, generate necessary departmental documentations and project site supports as required. The subject is expected to manage their own projects with sufficient supervision support. Subject must provide timely analyses, reports, and high-quality assistance in all administrative and project coordination capacities and perform adhoc duties including managing subordinates such as the Technical Services admin and coordinator.
Key accountabilities :
• Support the project leader in any supporting project duties required.
• Manage assigned projects including Owner and Consultant coordination and timely internal reporting.
• Provide management of administrative and clerical oversight the entire department.
• Project site visits and prepare reports as required.
• Assist team members to prepare project design briefs, and presentation decks.
• Administer meeting minutes and ensure all assigned project coordination are on-track.
• Assist with project reviews including drawing and specification reviews.
• Assist with brand standards updates.
• Internal coordination of design and details as required.
• Production of presentation and departmental tracking and tracing documentations as requested.
• Organize meetings, including scheduling, arranging conference rooms, sending reminders, and organizing catering when necessary.
• Prepare confidential and sensitive documents.
• Determine matters of top priority and handle accordingly.
• Assist in organization and maintenance of office filing and database system and looking for way to improve systems.
Key qualifications and experience required :
• University graduate in Design is preferred.
• University graduate Design or Engineering/Project based degree preferred.
• A minimum of 5 years experience in a hospitality role ideally having background in both hotel operation and design.
• Excellent time management skills and ability to multi-task and prioritize work.
• Effective and professional communication abilities.
• Professional writing capabilities, including being able to communicate with employees, vendors, and clients or guests.
• Great customer service and interpersonal skills.
• Strong organizational, learning and planning skills
• Proficiency in MS Office and English speaking
