Proactive Inspections: Conduct rigorous facility walkthroughs to identify snags, safety hazards, or maintenance needs before they impact the business.
Handyman & Technical Oversight: Directly oversee on-site technician activities, including pest control, HVAC, plumbing, and general repairs.
Rapid Response: Serve as a key point of contact for emergency incidents, ensuring immediate rectification and communication to the Site Lead.
Ticketing Mastery: Manage the GUTS (Global Unified Ticketing System) lifecyclelogging proactive tickets, following up with urgency, and ensuring 100% closure rates.
Vendor & Project Coordination
Vendor Command: Coordinate and monitor on-site vendors (MA, AV, Security, Food Services) to ensure high-quality delivery and compliance with safety standards.
Permit & Safety Control: Issue and monitor Work Permits and Method Statements; maintain floor registers for Health & Safety compliance.
Asset Management: Oversee the uptime of all pantry and reprographic (Xerox) equipment, ensuring the office is always open for business.
Strategic Admin & Events
Space Management: Maintain updated floor plans and coordinate Tech Talk room setups.
Event Logistics: Lead the organization of client-requested events and site-wide activities.
Documentation: Maintain precise records for warranties, maintenance schedules, and landlord communications.
Emergency Readiness: Actively participate in emergency evacuation drills and business continuity planning (BCP).
Qualifications
High school diploma or equivalent; associate's or bachelor's degree is a plus.
Proven experience in a coordination or administrative role, preferably within a technical or service
oriented industry.- Strong organizational and time-management skills with the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with project management tools is a plus.- Strong problem-solving skills and attention to detail.
