About The Role

We're looking for a Business Operations Associate who finds genuine satisfaction in making things run well. This is a role for someone who notices when a process is messy and quietly fixes it; who tracks ten moving pieces without dropping any; who makes the people around them feel like everything is under control — because it is.

You'll work across projects, workshops, legal coordination, client billing, and vendor relationships, touching almost every part of how Fellow Intelligence operates day to day. It's a wide scope for a junior role, and that's intentional — we want someone who's energized by variety, not overwhelmed by it.

We also hope you'll bring your own ideas. If you see a better way to do something, we want to hear it. This role isn't just about keeping us in good shape today — it's about helping us build the systems that will hold as we grow.

This role is offered as a 6-month contract initially, with potential to extend based on business needs.

What You'll Do

Workshop Operations (a significant part of the role)

  • Own the end-to-end operations of Fellow Intelligence workshops: pre-workshop planning, client communication, checklist management, material preparation, and on-the-day logistics.
  • Design and continuously improve the client experience across the full workshop journey, from first confirmation to post-event follow-up.
  • Send workshop materials to participants on time, manage registrations, and ensure every session runs without friction.
  • Gather feedback and document learnings after each workshop to improve future delivery.

Project & Business Operations

  • Keep track of all active projects: status, timelines, deliverables, and next steps. Make sure nothing falls through the cracks.
  • Evaluate how we work and identify areas where we can do things better. Propose and implement workflows that help the team move faster and more clearly.
  • Maintain up-to-date records for quotations, invoices, and project documentation.
  • Monitor deliverables across teams and follow up proactively to ensure timely completion.
  • Gather key information from stakeholder meetings and turn it into clear, useful reports.
  • Support the documentation of objectives, key results, and process improvements; present findings to the team when needed.

Legal & Contract Coordination

  • Coordinate the drafting, review, and signing of legal documents, working closely with our Legal team who handles all drafting — your role is to keep the process moving: tracking status, chasing approvals, and making sure nothing gets stuck between parties.
  • Manage vendor accreditation and client accreditation processes end to end — registering Fellow Intelligence as an approved vendor with corporate clients, and onboarding new vendors into our system.

Client Billing & Vendor Relations

  • Initiate client billing upon completion of deliverables and follow through as the point of contact until payment is received.
  • Work closely with our accounting vendor who handles all invoicing and collections — your role is to track status, follow up when needed, and ensure nothing slips through.
  • Manage partner accreditation processes — onboarding and maintaining Fellow Intelligence's status as a certified or approved partner with key technology providers.

Knowledge & Asset Management

  • Keep the team's shared knowledge organised and accessible: documentation, templates, process guides, and key reference materials.
  • Manage inventory of team assets and ensure everything is tracked and accounted for.

What We're Looking For

Must-Haves

  • At least 1 year of experience in project management, workshop coordination, operations, or a relevant role where you were responsible for keeping multiple things on track.
  • Clear communicator in Thai and English, written and spoken. You can write a professional client email, summarize a meeting clearly, and flag a problem without causing panic.
  • Genuinely organized — you have a system, and it works. You don't need to be reminded twice.
  • Comfortable working across teams and functions without having formal authority over them — you get things done through relationships and follow-through.
  • A mindset for improvement — when you see something inefficient, your instinct is to fix it, not work around it.

Good-to-Haves

  • Experience coordinating legal or procurement processes (you don't need to understand contract law — just how to keep the process moving).
  • Familiarity with project tracking tools (Notion, Asana, Monday, or similar).
  • Experience in a startup, consultancy, or fast-moving small team environment.
  • An interest in AI and how it's changing the way organizations work.
