Job Description

Key Responsibilities:

  • Arrange and obtain all required flight permits, overflight and landing clearances, airport slots, and parking approvals for domestic and international operations.
  • Arrange ground handling services as required.
  • Liaising with external providers (handling agents, FBOs, fuel suppliers, Civil Aviation Authorities, Immigration, Customs, etc.) concerning any ground services arrangements or operational requirements, to ensure compliance and timely approval.
  • Coordinate all ground arrangements: handling services, fueling, catering, ground transportation, hotel booking, crew logistics, and visa/immigration-related requirements.
  • Work with MJets FBO and international partners to ensure seamless operations and VIP-level service delivery at all stations.
  • Provide accurate guidance on airport operations, entry restrictions, service capability, and operational requirements.
  • Deliver timely communication on updates, issues, or contingencies, ensuring exceptional customer experience.
  • Prepare accurate quotations and service orders in FBO ONE based on flight details, aircraft type, and required services.
  • Verify pricing according to station rates, customer category, and company policy.
  • Ensure all quotations, orders, documents, and service records are properly filed for traceability and audit compliance.
  • Generate and issue secure payment links (VISA, Master Card, AMEX) and support pre-flight payment collection.
  • Review billing details, confirm payment status, and coordinate with Ground Handling for onsite payment when required.
  • Ensure proof of payment and financial documents are uploaded and recorded accurately in FBO ONE.
  • Maintain complete and accurate flight documents, including Flight Plans, General Declarations, ICAO FPL, Slot Letters, permits, and invoices.
  • Keep documents organized and readily accessible for audits or authority inspections.
  • Handle last-minute changes, flight delays, slot conflicts, or crew visa issues with professionalism and urgency.
  • Coordinate resolutions with relevant departments and escalate critical matters to the Trip Support Supervisor or Manager.
  • Prepare shift reports summarizing operations, issues encountered, pending tasks, payment status, and customer escalations.
  • Support management with data collection and operational administration for audits, performance review, and continuous improvement.
  • Ensure that all of the above is fulfilled efficiently, always within the safety boundaries and with the customer s satisfaction in mind at all times.

Qualifications:

  • Bachelor's degree in Aviation Management, Air Transport Management, Business Administration, or a related field.
  • Experience in Hospitality or Sales is preferred.
  • Fluent in both spoken and written English. A TOEIC score of650 or above is preferred
  • Willing and able to work in a rotating shift environment, including weekends and public holidays, as required.
  • Excellent interpersonal, coordination, and customer service skills with the ability to work effectively with flight crew, authorities, international partners, and customers.
  • Able to work under pressure, manage multiple tasks efficiently, and respond effectively to last-minute operational changes.
  • Dynamic, positive, proactive, and a strong team player.
  • High attention to detail and strong documentation control skills.
  • Proficient in Microsoft Office and operational systems (experience with FBO ONE or similar systems is an advantage).
