About the Role
We are looking for a motivated and service-oriented Venue Executive to join our team managing event spaces across Singapore's premier parks portfolio. As the primary point of contact for venue hirers, you will guide clients throughout the booking journey-from initial enquiries and site inspections to event execution and post-event reinstatement-ensuring every event is delivered smoothly and to the highest standards.
This role supports venues across Singapore Botanic Gardens, Fort Canning Park, HortPark, and Jurong Lake Gardens, offering the opportunity to work on a diverse range of corporate, community, and private events in some of Singapore's most iconic green spaces.
Key Responsibilities
Booking & Client Management
Attend to venue enquiries via phone, email, and walk-ins in a professional and timely manner.
Conduct site inspections and advise clients on venue suitability, booking procedures, and venue policies.
Process venue booking applications and coordinate approvals in accordance with established guidelines.
Manage booking schedules and maintain accurate booking records.
Coordinate cancellations, rescheduling requests, invoicing, and payment processing in accordance with company procedures.
Build and maintain positive relationships with clients by providing excellent customer service throughout the booking process.
Event Operations
Coordinate venue handovers before and after events.
Support event setup and teardown, including furniture arrangements and audio-visual coordination where required.
Monitor events on-site to ensure smooth operations and compliance with venue guidelines.
Coordinate with clients, vendors, caterers, contractors, and other stakeholders to facilitate successful event execution.
Conduct post-event venue inspections, document any damages where necessary, and coordinate reinstatement activities.
Support logistics and operational requirements across multiple park venues.
Administration & Reporting
Maintain accurate booking, financial, and operational records.
Prepare regular operational and financial reports.
Maintain venue information, documentation, and inventory records.
Report maintenance issues, equipment faults, and facility defects promptly.
Support continuous improvements to venue operations and customer service standards.
Requirements
Diploma in Events Management, Hospitality, Marketing, Business, or a related discipline.
At least 2 years of experience in venue management, event management, hospitality, customer service, or a related field.
Strong communication and interpersonal skills with a customer-focused approach.
Well-organised, meticulous, and able to manage multiple tasks effectively.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
Able to work independently as well as collaboratively in a fast-paced environment.
Willing to work weekends and Public Holidays when operationally required.
A Class 3A driving licence would be an advantage but is not mandatory.
