How to convey your work exit to clients and coworkers

Your resignation is approved and you will be moving on to a new job. But how do you break the news to the people you work with every day?

Firstly, it is important to address your departure to the coworkers you see every day. The best way to announce your departure is to work with your supervisor or HR team to iron out a transition plan, possibly to a new member who will replace you. Once that is in place, make an effort to meet those you feel closest to and tell them in person about your resignation. Whether you announce the change in or out of the office, it’s an ideal opportunity to exchange personal contact information so that you can stay close with them after your time at the company is up. Your coworkers will appreciate this, and the gesture will help you maintain a positive relationship with them in the future should you ever work together again.

Next, it is also essential to inform the clients you’ve been working with in a timeframe that makes sense for the remaining projects and work you have left to do for them. Reassure them that your company’s commitment to responsiveness and client satisfaction has not changed, alert them to your last day and provide all the necessary details of their transition from working with you to another team member. Proactive communication will help clients avoid submitting orders or requests once you are no longer with the company.

Your goal for your departure should be for it to be as easy and worry-free as possible. Work hard to provide a comprehensive handover, assist with the transition, and – no matter your reasons for leaving – be sure to show gratitude, professionalism and sincerity will make sure everyone remembers you fondly.
