Job Responsibilities
- Lead, supervise, and provide guidance to the Project Administration team across multiple projects.
- Plan, assign, and monitor the daily workload of Project Administrators to ensure timely and accurate completion of tasks.
- Ensure consistency and compliance with company policies, procedures, and documentation standards.
- Review administrative processes and recommend improvements to enhance efficiency and productivity.
- Coordinate with Project Managers, Finance, Contracts, HR, Procurement, and other departments to support project operations.
- Oversee document control, filing systems, database maintenance, and record management.
- Ensure payment submissions and supporting documents are uploaded accurately and on time through the company's in-house system.
- Handle confidential information with professionalism and discretion.
- Coach, train, and support Project Administrators to improve their performance and capabilities.
- Prepare periodic administrative reports and monitor team performance.
- Perform other administrative and leadership duties as assigned by Management.
Job Requirements
- Diploma or Bachelor's Degree in Business Administration or a related discipline.
- Minimum 5 years of administrative experience, with at least 2 years in a supervisory or team lead role.
- Experience leading an administration team, preferably in the construction, engineering, or project-based industry.
- Strong leadership, planning, and people management skills.
- Excellent communication and interpersonal skills.
- Able to prioritize tasks, work under pressure, and manage multiple projects simultaneously.
- Proficient in Microsoft Office (Excel, Word, Outlook) and document management systems.
- Experience with ERP or in-house systems is an advantage.
- A proactive, responsible, and solution-oriented mindset.

- Mentoring and developing the administrative team.
