Business Services Assistant

Iron Software | Chiang Mai, Thailand (On-site)

Overview

We're looking for a Business Services Assistant who is proactive, adaptable, and eager to learn. In this role, you'll provide essential support across HR, payroll, finance, and general business operations.

You'll be part of a collaborative Business Services team that keeps Iron Software running smoothly day-to-day from maintaining documentation and coordinating internal processes to assisting with recruitment and finance tasks. This is an excellent opportunity to develop a broad foundation in operations and HR within a global software company.

Key Responsibilities

Operations & Administrative Support

  • Maintain accurate and up-to-date documentation for internal processes, templates, and SOPs.
  • Coordinate monthly payroll preparation, ensuring data accuracy and timely submission for approval.
  • Gather and organize company accounting & expense reports each month for submission to the company accountant.
  • Track external contracts, maintenance schedules, and vendor information.
  • Support scheduling, meeting coordination, and general administrative organization.

HR & Recruitment Support

  • Assist in setting the recruitment pipelines, scheduling interviews, and maintaining candidate records.
  • Conduct initial HR screen calls with shortlisted candidates to assess suitability and culture fit.
  • Support onboarding for new hires, including visa and work permit assistance, ensuring employee checklists and documents are complete.
  • Help coordinate company events, training sessions, and internal engagement activities.
  • Maintain employee records, probation tracking, and health insurance documentation.

Skills & Qualifications

  • Proactive, eager to learn, and ready to grow.
  • Degree or equivalent education preferred (recent graduates or candidates with relevant experience are encouraged to apply).
  • Strong organizational and time management skills, with the ability to prioritize and balance multiple tasks effectively.
  • Willingness to learn and use project management tools such as Slack, Google Workspace.
  • Strong communication, interpersonal skills.
  • Ability to problem-solve and stay adaptable when handling varied tasks.
  • Attention to detail and reliability in managing sensitive or confidential matters.
  • A positive attitude, with a respectful and service-oriented mindset.
  • Fluent Thai & English skills (both written and spoken).
