Position Overview

The Executive Assistant (EA) provides high-level administrative support to The Rockefeller Foundation's Senior Vice President (SVP), Asia, engaging with internal and external stakeholders in a timely, professional manner. Through proactive, detail-oriented support, the EA enables the SVP to focus on advancing the Foundation's priorities in Asia.

The EA manages the SVP's calendar, schedule, travel, and meeting logistics across time zones; plans meetings and related events; and serves as a key point of contact in the SVP's office. The role requires discretion in handling sensitive and confidential matters, independent judgment, and the ability to prepare agendas and synthesize complex information into clear, actionable summaries.

Principal Duties And Responsibilities

  • Serve as a key partner to the Senior Vice President, Asia.
  • Anticipate requests, provide fast, accurate, and thoughtful responses to inquiries, and follow up on action items on behalf of the SVP.
  • Function as the gatekeeper to the SVP and provide senior-level administrative support, including reading, researching, and routing correspondence, drafting letters and documents, collecting, and analyzing information as needed, and contact management.
  • Manage the SVP's time and calendar, managing a heavy schedule with efficiency and accuracy, including coordinating complex meetings with multiple participants and locations.
  • Coordinate domestic and international travel arrangements, ensuring tight schedules and well-articulated itineraries, and generate and modify travel plans quickly and accurately.
  • Manage travel, events, and expense submission through the Concur system.
  • Ensure the SVP's office, technology, and equipment are operating effectively, and coordinate with internal teams to provide seamless support.
  • Build strong relationships across the Foundation with key leaders and their senior-level administrators.
  • Assist the SVP and team members with the creation of high-level presentations and ongoing documentation, including the Asia Monthly Update.
  • Serve as an ambassador for the team internally and externally, contributing to a positive, values-driven culture aligned with the Foundation's vision, direction, and strategy.
  • Support the SVP in preparation for Board meetings and senior management meetings, including development of briefing materials, talking points and associated data and evidence.
  • Manage meeting logistics, including conference rooms, audiovisual equipment, and presentation displays.
  • Create, update, and maintain databases of network and grantee contact information in Salesforce.
  • Perform other duties as assigned by the SVP.

Education, Experience, And Skills

  • At least three years of executive-level administrative experience supporting a senior executive.
  • A bachelor's degree in business administration or a related field is preferred.
  • Must have prior experience in a complex, fast-paced, and highly professional global organization with multiple offices and a strong mission and people-centered focus, or in a not-for-profit organization within a highly dynamic, evolving work environment.
  • Demonstrated experience managing sensitive and confidential matters with a high level of professionalism and composure under pressure.
  • Strong execution and organizational skills, with proven ability to prioritize and manage multiple tasks seamlessly and with exceptional attention to detail.
  • Demonstrated critical thinking skills and strong decision-making capability.
  • Ability to work effectively both independently and in a collaborative and collegial environment.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to build positive and productive relationships across all levels of staff and management.
  • Strong project management and organizational skills, with a demonstrated ability to deliver high-quality, accurate work on time.
  • Demonstrated technical proficiency in Microsoft Word, Excel, and PowerPoint; experience with Salesforce is required.
  • Experience booking and managing international travel, demonstrated intercultural competence is required, and international work experience is a plus.
