Job Description

Responsibilities:

Calendar & Daily Operations Management:

  • Manage and prioritize complex executive calendars, coordinating daily meetings, appointments, and routine business activities with accuracy and foresight.
  • Align daily schedules with transportation and logistical needs to ensure time efficiency.

Domestic & International Travel Coordination:

  • Plan and manage complete travel itineraries, including flights, accommodations, ground transportation, visas, and detailed schedules.
  • Ensure all arrangements are efficient, cost-effective, compliant with policy, and aligned with business priorities for both executives and Function-related needs.

Visits & Hospitality Arrangements:

  • Lead end-to-end logistics for visiting executives, including agenda planning, preparation of meeting rooms, venue coordination, and hospitality arrangements.
  • Curate welcome kits, greeting cards, and culturally appropriate items to elevate the visitor experience.

Business Documentation & Reporting:

  • Prepare, refine, and organize high-quality presentations, reports, technical documents, and business materials.
  • Consolidate data from multiple sources to support decision-making across the Functions.
  • Draft correspondence and internal communications as needed.

Expense & Financial Administration:

  • Manage Travel & Entertainment (T&E) submissions for executives, ensuring accuracy and policy compliance.
  • Support financial administration for Function-related activities when required.
  • Cross-Functional Coordination & Internal Support:
  • Coordinate closely with internal teams to support planning, preparation, and follow-up of meetings, reviews, and Function-level events.
  • Manage catering, hospitality, and logistics for internal meetings.
  • Build strong relationships with Functions stakeholders, vendors, and external partners to ensure smooth operations.

Qualifications:

  • University Degree in any field.
  • Minimum 3 years experience in secretarial with multinational company.
  • Fluent level of English and Thai (both written and spoken).
  • Good organization, great time management and ability to act without guidance.
  • Knowledge/agility in MS Office tools

Contract Duration: 1 year (under Adecco extendable based on performance)

Working days: Mon Fri (8.30 17.30 hrs.)

Location: Bhiraj at EmQuatier (BTS Phromphong)

Salary: 40,000 60,000 baht/month (based on skill and experience)
