Position Overview: We are seeking a highly organized and proactive secretary to support CEO in their day-to-day activities. The ideal candidate will be detail-oriented, resourceful, and able to work independently in a fast-paced environment. This role is crucial in ensuring the executive's time is optimized and that their personal and professional commitments are managed efficiently.
Key Responsibilities:
- Manage and maintain the executive's calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations for meetings.
- Serve as the point of contact between the executive and internal/external stakeholders.
- Handle correspondence, including emails, phone calls, and messages.
- Assist in managing projects and deadlines, ensuring timely follow-up on action items.
- Conduct research and compile information as needed for decision-making.
- Maintain confidentiality regarding sensitive information and personal matters.
- Provide administrative support, including filing, data entry, and office organization.
- Run personal errands and assist with various tasks to support the executive's personal life.
- Coordinate special events, meetings, and team-building activities.
Qualifications:
- Bachelor's degree in business administration or related field preferred.
- At least 2 years of experience in a Secretary or Personal Assistant in a similar role.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and prioritize tasks effectively.
- High level of discretion and confidentiality.
- Flexible and adaptable to changing needs and priorities.
